Project Management Specialist – Microsoft Teams, Planner & SharePoint Setup

I'm a Senior Vice President of Marketing looking to streamline how I track direct report projects and stay organized now that I no longer have a dedicated EA. I’m seeking a Project Management Specialist with strong experience in Microsoft Teams, Planner, and SharePoint to help me set up and manage a centralized system for project visibility, collaboration, and accountability. This isn’t a traditional admin or IT role — I need someone who can bring structure to chaos, help me use the tools I already have, and serve as a Productivity & Collaboration Specialist: Focused on making the team more effective using Microsoft tools — kind of a cross between IT support, project coordinator, and digital systems thinker. What I Need Help With: - Set up a centralized project tracker using Microsoft Planner, linked in Teams - Configure automation for reminders, status updates, and weekly check-ins - Improve my SharePoint site to organize and link key department documents - Set up Quick Links, folders, and navigation - Teach me how to upload, tag, and retrieve files easily - Help me operationalize how I work — when I assign something via email, I want you to enter it in the tracker and prep me for reviews weekly - Recommend and implement best practices for visibility, structure, and reporting - Provide light coaching so I can use these tools confidently during leadership meetings Ideal Skills & Experience: - Strong skills in Microsoft Teams, Planner, SharePoint, and Lists - Experience in project coordination, digital systems, or team operations - Background supporting C-suite executives or senior leaders - Excellent communicator and natural organizer - Comfortable working with minimal direction and providing structure - Located in or familiar with Eastern (Orlando) time zone Scope & Commitment: - Initial setup and training: ~5–10 hours over the next 1–2 weeks - Ongoing part-time support: ~10–15 hours/week if a good fit If you're energized by helping leaders work smarter — and love connecting people, tasks, and tools — I’d love to hear from you.
