As we grow, we’re looking for an AP/AR Coordinator to manage our invoicing and collections with accuracy, clarity, and integrity. This role is perfect for someone who understands service-based billing, can navigate time tracking reports with ease, and ensures clients are never surprised by an invoice. Bonus points if you’re excited to help track and manage revenue from new offerings like on-demand training programs. Key Responsibilities Accounts Receivable (AR): Generate accurate client invoices based on team hour reports and contract scope Ensure billing aligns with service delivery and client expectations—no surprises Track receivables, follow up on overdue payments, and maintain professional client communication Support setup and billing for new revenue streams, including digital training programs and subscription-based services Accounts Payable (AP): Process vendor invoices and ensure timely payments to contractors, software vendors, and suppliers Maintain organized records for all outgoing payments Monitor recurring charges and flag discrepancies Finance Support & Reporting: Reconcile client payments, expenses, and bank activity Maintain and organize digital financial records in QuickBooks or similar accounting software Provide financial summaries and reports to support forecasting and monthly review Assist in year-end closeout, tax prep, and coordination with external CPA Required Skills & Experience 2–5 years in an AP/AR, billing coordinator, or finance support role Strong understanding of service-based billing and collections best practices Proficient in QuickBooks Online and Google Sheets/Excel Experience using time-tracking tools to create client invoices Clear, professional written and verbal communication Organized, dependable, and detail-oriented with a proactive attitude Comfortable working in a fast-paced, creative small business environment Nice to Have Experience with subscription-based income or digital product sales (training videos, templates, etc.) Familiarity with tools like Harvest, Notion, or other project/time tracking systems Interest in systems improvement and process automation
