Project Proposal: Excel-Based Inventory & Sales Tracking System for Sports Card Business Overview: I am seeking a freelancer with experience in Excel-based inventory management systems to build a customized solution for my small business selling sports cards via the WhatNot live streaming platform. This project is aimed at helping me efficiently track inventory, costs, and sales data for better operational clarity and accurate record-keeping—particularly for tax reporting purposes and of course understanding how my business is performing. Business Context: I purchase sports card inventory from independent sellers via mobile transactions. Each deal varies in size and value—from 1 card for $50 to mixed lots like 57 cards for $350. I then create curated piles of cards to sell during live shows on WhatNot. WhatNot provides gross revenue, net revenue, and final payout after fees and shipping. I need to know my cost of goods sold (COGS) per show to calculate my true profits. Current Challenges: When dealing with mixed lots (e.g. 57 cards for $350), I may only sell a portion of them during a specific show. It is difficult to assign individual cost values and track profitability in these situations. My current system is manual and not well-suited to scale or manage detailed data over time. Goals of This Project: -Inventory Tracking Sheet: -Log all purchases, including total cost, number of items, date, seller, and breakdown by item (if applicable). -Automatically calculate average cost per card for any given deal. -Show Inventory Builder: -Ability to select cards from inventory for an upcoming WhatNot show. -Automatically sum total COGS for selected inventory. -Mark selected inventory as “used” or “sold” while retaining remaining cards for future shows. -Sales Performance Tracker: -Input net revenue per show (data provided by WhatNot). -Subtract total COGS of selected cards sold in the show. -Output profit per show. -Tax-Ready Reporting: -Provide a running summary of total revenue, cost of goods, and net profit. Pre-Hire Video Call: As this project is somewhat niche, I would love to have a brief introductory video call with any potential freelancer before hiring. This way I can introduce myself and give the freelancer and idea of the business process, which I believe will make the job easier to understand. This project should not be overly time-consuming for someone with a basic to intermediate grasp of Excel and formula logic.
