Virtual Accounting Professional – bookkeeping assistance, office support

We are a healthcare education company seeking a reliable, detail-oriented Virtual Accounting Professional to work alongside our CEO, bookkeeping firm, and CPA firm. This role will support essential accounting and compliance functions that fall outside of our current bookkeeper’s scope, as well as general office support. This is a long-term, part-time role (approximately 5–10 hours/week) with flexible hours. Ideal for an experienced virtual accountant or controller familiar with small business accounting, payroll coordination, and compliance reporting. ________________________________________ Responsibilities: ✅ Check Issuance & Payments • Print and mail checks (particularly for honoraria, as ACH/bill pay isn't feasible for these) • Manage and securely use a provided signature stamp (if authorized) ✅ Payroll Coordination (via Paychex) • Liaise with Paychex to process a biweekly payroll for one subsidiary • Set up and manage separate company accounts in Paychex as needed ✅ Compliance & Reporting • Coordinate with our tax advisor to ensure timely sales tax filings • Support 1099 preparation and distribution (working in tandem with our bookkeeper and tax accountant) • Prepare and file annual state business reports • Support 401(k) tax reporting and liaise with our retirement plan administrator • Support general office duties. ________________________________________ Requirements: • Proven experience with small business accounting and compliance • Comfortable handling physical check printing/mailing (U.S.-based preferred) • Familiarity with Paychex, QuickBooks, or similar payroll/accounting systems • Strong communication and project management skills • Reliable, discreet, and detail-oriented ________________________________________ Bonus Qualifications: • Prior experience supporting small business • Experience coordinating with multiple vendors (e.g., tax firms, retirement providers) • Familiarity with multi-entity or subsidiary accounting
