College Admissions Consultant looking for a success manager/virtual assistant

I run a boutique College Admissions Consulting and Test Prep company in Southern California serving high-achieving, ambitious students— and I’m looking for a rockstar Success Manager to help keep my students (and me!) on track, on task, and ahead of the game. I'm ideally looking for someone who has experience with College Planner Pro and Prompt software, but that's not 100% necessary. To start, this would likely run from June through December of this year, with the potential to make this a yearly gig. I'm guessing roughly 10-20 hours a week, but we can see as we go. Here is a general sense of the scope of what I might need help with: - Manage and maintain College Planner Pro student profiles - Assign and update to-dos, checklists, calendar events, etc. - Upload and organize documents: resume, transcript, assessments, LORs, test scores, etc. - Keep files and folders student-ready for each phase of the process - Help with scheduling, reminders, and communication: - Help students organize their personal to-do lists week-to-week - Schedule and track campus visits, interviews, and rep meetings - Set up full-season broadcast email campaigns (ALL students, subsets like “students applying to USC,” etc.) - Nudge students and families with regular reminders: “Where are we?” check-ins, essays due, tours booked, etc. - Track and manage school-specific requirements and tasks: - Counselor/teacher questionnaires — which schools require them, when, and have they been submitted? - Pay attention to which schools require demonstrated interest and how to show it - Help track things like self-report vs. official test scores, Scoir/Naviance submission requirements, and application status - Essay & research support infrastructure: - Collaborate with me and Prompt editors to help track personal statements and supplements - Use CPP’s school-specific pages to add notes about clubs, majors, and “Why School” material - Create and store reusable research templates and interest data for commonly applied-to schools
