Title: Event Planner / Manager for Annual B2B Conference (On-Site - Greater Seattle Area) Description: We are seeking an experienced Event Planner / Manager to help us successfully execute our annual B2B conference, taking place at the Greater Tacoma Convention Center. This is a contract-based role for a planner who is based in or near the Greater Seattle-Tacoma area and can be onsite during the full duration of setup, event execution, and takedown. About the Event: Type: B2B Conference Location: Greater Tacoma Convention Center Attendees: Business professionals and exhibitors Scope: One-day or multi-day event (details to be provided during interview) Key Responsibilities: Oversee all on-site event execution, setup, and teardown Coordinate with pre-selected vendors including: A/V Team GTC Event Staff Catering Services Exhibitor logistics teams Manage registration desk and attendee support (alongside internal team) Serve as liaison between venue and internal stakeholders Monitor event timeline, vendor arrivals, and day-of schedules Ensure exhibitor spaces are correctly set up according to plans Problem-solve in real-time with professionalism and urgency Requirements: Based in the Greater Seattle or Tacoma area (must be physically present during the event and setup/takedown days) Proven experience planning and managing corporate or B2B events Strong communication and coordination skills across vendors and stakeholders Experience working with convention centers or similar venues preferred Comfortable managing high-pressure, fast-paced environments Available for pre-event planning calls and meetings (virtual or in-person as needed) Preferred Experience: Familiarity with Greater Tacoma Convention Center or similar-sized venues Knowledge of B2B exhibitor logistics Experience working with external A/V and catering vendors
