Executive Assistant / Sales Admin for Salesforce GovCon Consultancy

About Ivory Skies: Ivory Skies is a fast-growing Salesforce consulting firm dedicated to delivering expert talent and services to prime government contractors. With a track record of high-impact support and a vision to transition from subcontractor to prime, we’re seeking a dynamic, highly organized Executive Assistant / Sales Administrator to support our CEO and streamline our sales operations. Position Type: Part-time to full-time (starting at 10–20 hours/week with growth potential) Location: Remote (must be able to work US Eastern Time hours for at least part of the day) ⸻ Key Responsibilities: Executive Assistant Duties • Manage CEO calendar: schedule internal and external meetings, block focus time, and coordinate travel if needed • Draft and organize executive communications and follow-ups • Maintain an organized system for task tracking, prioritization, and deadline management • Support document preparation (pitch decks, meeting briefs, etc.) Sales Administrative Support • Manage and update Salesforce Sales Cloud with leads, contacts, and pipeline activities • Track RFPs, RFIs, and BD opportunities from government platforms (SAM.gov, etc.) • Support proposal development (e.g., formatting, assembling resumes/past performance summaries) • Maintain and improve templates for outreach, capability statements, and CRM hygiene • Schedule and help prep for client/prospect meetings ⸻ Ideal Candidate: • Highly organized, proactive, and detail-oriented • Excellent written and verbal communication skills • Comfortable working in a fast-paced, entrepreneurial environment • Discreet and trustworthy with sensitive company and client information • Able to self-manage and prioritize across multiple workflows ⸻ Required Skills & Experience: • 2+ years supporting C-level executives or business owners • Experience with CRM systems (Salesforce preferred) • Familiarity with government contracting or professional services sales a strong plus • Proficiency in Google Workspace (Docs, Sheets, Calendar), and task/project tools like Asana, ClickUp, or Notion ⸻ Bonus Points For: • Experience in federal contracting, particularly supporting BD teams • Knowledge of Salesforce Consulting ecosystems or GovCon platforms • Prior Upwork experience with stellar feedback
