Executive & Operations Virtual Assistant | Digital Systems & Business Management Job Overview: We are seeking a tech-savvy, highly organized, and proactive Executive & Operations Virtual Assistant (VA) to support multiple brands and business operations, including a Medspa and wellness center, real estate holdings, and athlete recruiting and exposure efforts. This role is essential in managing day-to-day tasks, digital systems, and operational workflows while driving revenue growth and operational efficiency. The ideal candidate will possess strong organizational, communication, and technical skills with the ability to manage diverse tasks, collaborate with external vendors, and support both business and personal initiatives. Key Responsibilities: Athlete Recruitment & Exposure Support ✅ Research and identify opportunities for athlete exposure and recruitment (including outreach to key contacts) ✅ Design and distribute professional one-page digital profiles and presentations ✅ Optimize social media presence (bio updates, media curation, engagement strategies) ✅ Develop and manage tracking logs for outreach efforts and follow-ups ✅ Coordinate with marketing/SEO support to maximize visibility Business Operations (Medspa, Real Estate, Consulting) ✅ Oversee daily email management (categorization, clean-up, automation) ✅ Organize Google Drive, Dropbox, and digital file systems for multiple brands ✅ Manage calendars and scheduling (Google Calendar, Outlook) ✅ Coordinate contractors and service providers for household/property tasks ✅ Support leasing efforts for real estate properties, including outreach and marketing ✅ Conduct financial audits to identify and cancel unnecessary subscriptions/expenses ✅ Research and prepare grant/funding applications for business and properties ✅ Collaborate with marketing professionals to execute digital campaigns and promotions General Administrative & Marketing Support ✅ Customer service via email and chat (Zendesk, Freshdesk) ✅ Social media management (content creation, posting, engagement) ✅ Website and e-commerce support (Shopify product listings, WordPress updates) ✅ Document formatting, report creation, presentation design ✅ Data entry, web research, and list building ✅ Graphic design (logos, flyers, social media graphics) Software & Tools Proficiency (Preferred): ✅ Google Suite, MS Office, Slack, Zoom, ClickUp, Trello, Asana, Monday.com ✅ Shopify, WordPress, WooCommerce ✅ Social media management tools (Meta, Metricool, Vista Social) ✅ Data scraping tools (Octoparse, Beautiful Soup, Scrapy) ✅ Graphic design (Canva, Photoshop, Illustrator) ✅ CRM (HubSpot, Salesforce, Zoho) Key Attributes: ✅ Exceptional communication and time management skills ✅ High level of confidentiality and data security awareness ✅ Strong problem-solving, research, and multitasking abilities ✅ Self-starter with minimal need for supervision ✅ Proactive, adaptable, and open to learning Work Structure & Compensation: Status: Full-Time (or Part-Time trial with potential for long-term) Hours: 40 hrs/week (flexible, based on milestones and deliverables) Compensation: hourly or a negotiable flat weekly rate (based on skills, experience, and agreed milestones) Why Join Us?
