Key Responsibilities Payroll & Employee Benefits Process payroll on the 1st and 16th of every month Manage and update Betterment 401(k) contributions and participant eligibility Ensure accurate payroll entries in QuickBooks Bookkeeping & Invoicing Send and manage invoices via QuickBooks Prepare and send monthly OB (Outstanding Balance) reports Update invoice tracking spreadsheets Send Accounts Receivable notices as needed Apply incoming payments (Zelle, wires) during weekly reconciliations Perform monthly reconciliation and generate month-end financial reports Accounting & Tax Filings Handle state tax filings and business insurance requirements Oversee and manage QuickBooks Online (QBO) subscription Ensure accuracy and compliance with all reporting and documentation Communications Monitor PO Box and office mail for checks and important documents Handle billing-related emails and respond to client and staff inquiries promptly Communicate with property managers regarding rent, building inspections, and office-related matters Manage state tax filings and insurance-related processes Maintain QBO subscription and settings Qualifications Proven experience in accounting, payroll, and bookkeeping Proficiency in QuickBooks Online (QBO) is required Solid understanding of payroll processes, tax filings, and reconciliations Strong attention to detail and organizational skills Ability to manage multiple financial workflows independently Excellent written and verbal communication skills Comfortable working remotely and collaborating via email or online tools Based in or familiar with California accounting/tax compliance is a plus Preferred Background in working with professional service firms or small businesses CPA or bookkeeping certification (optional but preferred) Experience with Betterment for Business, Veem, and similar platforms
