New Go High Level Lead Management Automation Setup

Project Brief: GoHighLevel (GHL) Simplification & Build We currently have a lead management system in GoHighLevel (GHL) that was initially built by a third party. It’s become overly complex, and we want to rebuild it entirely within our own GHL account, with future scalability in mind. The objective is to simplify, fully control, and future-proof the system — with the option to add AI automation once the foundation is stable. Important Notes: We’re looking for one freelancer or team to handle Phase 1 and, if it’s a good fit, continue through future phases. Long-term consistency is important to us; we are not looking to work with multiple providers. Phase 1 (Initial Build): Review the current GHL setup (reverse-engineering may be necessary, as we do not have full backend access) Rebuild and simplify the lead flow: New inquiry, Booking, Follow-up, Attended, Offboarding Set up simple automations: Appointment reminders, nurture emails or SMS, tagging, and guidance on whether to use GHL’s booking system or our existing CRM Build a clear lead pipeline: Easy-to-follow lead stages for staff to manage daily Document the system: Clear documentation of workflows and how to make future updates Light training: Live sessions to show us how to maintain and adjust workflows Phase 2 (Future Expansion): Build AI chatbot integration for SMS conversations and appointment handling within GHL Continue simplifying processes as volume grows Ongoing workflow maintenance and optimization as the business evolves Ideal Candidate: Proven GHL experience with workflow builds, simplification, and AI tools Ability to build scalable, long-term systems Strong documentation and training skills Excellent communicator who can collaborate closely with our team About Us: We are a coaching and education business. Leads come from ads, web forms, and other online sources. We need a simple, reliable system to handle inbound leads, bookings, follow-ups, and client retention. We do not require complex agency-style sales funnels.
