SendGrid Email Consultant: Transactional + Marketing Strategy & Migration

OVERVIEW We’re a consumer tech company preparing to overhaul how we communicate with customers. We’re seeking an experienced email consultant to help us audit and optimize our email infrastructure using Twilio SendGrid Pro (with dedicated IPs). You’ll focus on two essential email streams: - Transactional Emails: Review and improve automated ride receipts, terms updates, and triggered system messages. - Marketing Emails: Migrate our current list from Brevo to SendGrid and build a scalable email strategy that supports acquisition, engagement, and deliverability. This is a strategic and technical role only. Our internal team will handle copywriting, visual design, and campaign execution. PAID DISCOVERY TASK (Initial Milestone) To ensure alignment, we’re starting with a paid discovery task before kicking off the full project. The discovery phase includes: - Auditing our current SendGrid setup, including transactional message flows and dedicated IP configuration - Assessing deliverability and domain authentication status (SPF, DKIM, DMARC) - Summarizing top 3–5 recommendations or fixes to improve performance If this phase goes well, we’ll proceed with the full project. PROJECT SCOPE & MILESTONES Milestone 1: Transactional Email Setup - Audit current SendGrid configuration and usage - Review and refine ride receipts, terms updates, and account notification flows - Set up or verify domain authentication (SPF, DKIM, DMARC) - Provide QA/test plan for triggered messages Milestone 2: Marketing Email Migration & Strategy - Migrate email list from Brevo to SendGrid - Evaluate list permissions, structure, and segmentation - Design warm-up plan for existing permissioned contacts - Define welcome email flow for new subscribers - Recommend strategy for list acquisition, re-engagement, and long-term deliverability Milestone 3: Documentation & Training - Create documentation on SendGrid configuration and best practices - Provide guidelines for healthy cadence, segmentation, and list hygiene - Deliver handoff materials or host a live walkthrough with our internal team TEAM & COLLABORATION - You’ll work closely with our internal comms lead (strategy) and designer (visual templates) - No HTML/CSS or content creation is needed — focus is on backend setup and strategic planning - Weekly check-ins during active phases; async coordination via Slack or email as needed YOU'RE A FIT IF YOU HAVE: - Proven expertise with SendGrid Pro (including dedicated IPs and sender authentication) - Deep knowledge of email deliverability, onboarding warm-up, and list management - Experience with ESP migrations and marketing infrastructure setup - Familiarity with both transactional and marketing email systems - Bonus: Experience with mobility, consumer tech, or sustainability-focused brands TIMELINE Start: ASAP Discovery Phase: 1 week Transactional Audit & Setup: 2–3 weeks Marketing Migration & Documentation: 4–6 weeks
