Office Manager and Administrative Assistant for Juvia's Place. Must be able to work in New Jersey.

Job Summary: This role is not remote. Must be able to work in person in New Jersey. Juvia’s Place is seeking a highly organized and detail-oriented Administrative Assistant to support our CEO and assist in the coordination of key business operations. The ideal candidate will have a strong administrative background, with a preference for experience in the cosmetics industry. This role requires excellent communication skills, multitasking abilities, and a proactive approach to handling administrative tasks efficiently. Key Responsibilities: Scheduling and Coordination -Assist in scheduling models and organizing photo shoots, ensuring all logistics are handled smoothly. -Coordinate travel and accommodations for models, photographers, and key team members as needed. -Maintain an organized calendar and ensure timely scheduling of meetings and appointments. Administrative Support -Perform receptionist duties, including answering and directing calls, greeting guests, and managing correspondence. -Prepare and distribute internal communications, meeting agendas, and reminders. -Schedule and send reminders for CEO meetings, ensuring efficient time management. -Maintain and organize company records, documents, and reports. -Order office supplies and keep inventory of supplies -Sort and distribute office mail. Meeting Management -Schedule and manage meetings for the CEO, ensuring all necessary preparations are made. -Take meeting minutes and distribute follow-up action items as needed. -Ensure all virtual meetings run smoothly by assisting with technical support if necessary. -Redirect individuals not on meeting agenda. Qualifications & Requirements: -Minimum 3 years of experience as an administrative assistant or in a related role. -Strong organizational and time-management skills with attention to detail. -Excellent verbal and written communication skills. -Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace. -Ability to handle confidential information with discretion. -Strong problem-solving skills and ability to work independently. -Preferred: Experience working in the cosmetics or beauty industry.
