About Root Creative Marketing: Root Creative Marketing is a California-based agency specializing in creative marketing services for the agriculture industry. We help brands connect with their audiences through innovative campaigns that blend modern marketing tactics with an understanding of the ag industry. Root is a dynamic, growing team, and we're looking for a Remote Project Coordinator to help ensure the smooth execution of client projects. Position Overview: The Remote Project Coordinator will be responsible for managing smaller-scale projects from start to finish, ensuring that all tasks are executed on time and within scope. Working closely with our Project Manager, this individual will manage the day-to-day project coordination, client communications, vendor relations, and support the team in staying organized and efficient. The Project Coordinator will be instrumental in ensuring timely project delivery and maintaining strong client relationships. Key Responsibilities: Project & Client Management •Lead the day-to-day coordination of smaller-scale projects (e.g., one-day shoots, events) from kickoff to final deliverables. • Act as the point of contact for client communications, ensuring clear expectations and timely updates. • Manage scheduling across internal and external stakeholders, including setting up meetings and preparing agendas. • Own client follow-ups to keep projects on track and deadlines met. Timeline & Task Execution • Support the Project Manager in building detailed project timelines and assigning tasks to appropriate team members. • Maintain and update project calendars and task trackers across platforms (e.g., Google Sheets, Avaza). • Ensure timely task execution by proactively reminding team members of deliverables. Organization & Asset Management • Own the setup and ongoing organization of client-specific folders and assets, including Milanote boards and shared drives. • Ensure all project files are accessible, up-to-date, and clearly structured for the team. Vendor & Partner Coordination • Coordinate with vendors (e.g., printers, production partners) to ensure smooth and timely delivery of third-party needs. • Serve as the go-to for logistical vendor communications on assigned projects. Tracking & Reporting • Maintain and update weekly project budget/hour trackers. • Help develop and manage internal tools for tracking time, deliverables, and team capacity (e.g., project leaderboards, dashboards). Systems & Workflow Development • Collaborate with the Project Manager to transition the team into a project management system (e.g., Avaza). • Assist in developing clear SOPs for different project types (video, design, shoots, events). • Support the creation of consistent internal processes to improve efficiency and accountability. Quality Assurance & Strategic Input • Review deliverables for accuracy and alignment with client feedback before handoff. • Assist with market research to support creative strategy and planning.
