Executive Assistant (and Jack/Jill-of-all-Trades) to Management Team of Event Production Company

Company Description: GreenPearl produces high-end business-to-business conferences across the U.S. for the real estate industry. We provide a platform for industry principals (investors, owners & developers) to connect, learn from each other and grow their networks through high-value events and conferences. The Role: We are looking for an executive assistant to provide direct administrative support to the Managing Director and CEO. This is a full-time remote position. The Executive Assistant will provide support to both individuals in the following areas: customer service, sales, marketing/social media, data management, operations, event planning, and project management. This role collaborates with every department in the company. Essentially, the Executive Assistant will step in to assist the Managing Director and/or CEO whenever and wherever necessary. Primary responsibilities include: Quickly demonstrates comprehensive knowledge of GreenPearl’s business processes, policies, and practices, and applies knowledge within own technical area to develop relatively advanced work results. Customer Service - Handle inbound questions from prospective and current event attendees, sponsors, speakers regarding registrations and conference deliverables Sales Support - Process all new sales in company database - Send invoices, keep track of payments and alert sales reps on any issues - Update database with new information, including correcting errors - Send out communication to clients regarding the events they are involved in - Check in with clients periodically to ensure they have up to date information - Regularly review marketing materials to ensure our clients are listed properly Marketing / Social Media - Regularly post content to LinkedIn and Instagram promoting our speakers and events - Create graphics for GreenPearl and our clients to post to their social media channels Data Management - Update contact records to keep them current (e.g. name, title, company, phone number, email address), ensuring that we keep our CRM system up to date Operations / Event Planning - Venue and vendor research and management using Salesforce / Google Sheets - Venue and vendor outreach, negotiation and coordination, including contracts and payments - Event materials preparation including speaker run of shows, signage, agendas, and other supplies procurement - Management and update of vendor database of catering, audio & visual, furniture rental, and other event services Qualifications: - Demonstrated excellent written, editing, and proofreading skills as well as verbal communication skills - Excellent working knowledge of Microsoft Office (Word, Excel, and PowerPoint) and data entry experience - Demonstrated high degree of accuracy, problem-solving and problem resolution as well as attention to detail - Ability to meet deadlines - Demonstrated ability to work independently, using sound judgment with the ability to prioritize and make decisions - Energetic and eager to tackle new projects and ideas - Excellent organization and time-management skills - Event planning experience a plus - Experience with basic graphic design a plus - Must have a working computer or laptop, dedicated working space and excellent WiFi Contract Compensation: $30 / hour, minimum thirty hours a week, pre-arranged daily working hours, contract-position only
