I run a fast-growing apparel brand with a mix of Printify-fulfilled and in-house made-to-order inventory. I’m currently managing orders through Excel and Monday.com, but I lack visibility into inventory usage and have fragmented manual workflows. My goals are to: Implement a lightweight inventory system that tracks blank stock and what’s been committed to open orders Automate daily reporting around fulfillment and shipping status Standardize all product listings (especially Champion crewnecks) Set estimated delivery timelines Build a custom returns/exchange portal with tracking and label automation Enable email-to-task workflows for custom order requests to reduce admin lift and improve turnaround time This is part of a broader goal to streamline order management, automate production prep, and create visibility into the fulfillment pipeline as we scale.Looking for someone with operations background that can help me bring this vision to light and also make suggestions on how to better streamline my work. Generate a daily report at 12:05 AM that includes: Customer Name Order Number Shipping Method Order Created Date Line Item Name Line Item Quantity Line Item Fulfillment Status (with “Ready for Pickup” indication) Shipping Status (e.g., Confirmed, Out for Delivery, Delivered) Billing Name Printing Name (if stored or custom field) Export report to Google Sheets or send by email (CSV or table format). “Ready for Pickup” Order Monitoring Create a daily report of all orders marked “Ready for Pickup” (Optional) Add a button in the email notification that allows the customer to mark the order as picked up Orders confirmed as picked up should be tagged or updated in the report Product Title & Description Standardization Rename all Champion Crewneck product titles to the format: Hospital Name Letter Color Specialty Champion Crewneck Confirm all crewnecks offer sizes S, M, L, XL, XXL, XXXL Apply a universal product description to all healthcare Champion crewnecks Estimated Delivery Date Messaging Display the following on product pages or checkout: Estimated Delivery: 7–10 Business Days Determine where this message currently exists (if it does), and make it editable site-wide Returns and Exchanges Portal Build a Returns & Exchanges Page with the following workflow: Customer enters order number Selects item(s) to return or exchange Indicates return or exchange, with notes On form submission: A return label is automatically generated and emailed The submission is logged in Google Sheets or Monday.com The return’s tracking status is monitored, and admin is notified once it’s marked “Returned” An email notification is sent to admin The Shopify order is tagged (e.g., "Return Requested") Healthcare Custom Request Form Develop a form that allows healthcare workers to: Select a hospital from a dropdown Choose from approved colors per hospital Enter a specialty name exactly as they want it printed Choose design placement (e.g., sleeve, wrist) Add additional notes Submissions should be emailed and optionally stored in Google Sheets or Monday.com. Order Tagging & Inventory Insights Or Katana Inventory Implementation Automatically tag orders by size Generate reporting comparing ordered sizes vs on-hand inventory (Optional) Link to inventory system or provide recommendations for tracking USPS Pickup Task Creation When an order is shipped with a USPS label, automatically trigger a task to schedule USPS pickup using Zapier or calendar integration Zapier / Make (Integromat) automation Google Sheets scripting or automation Monday.com or similar project management platform Experience with order management in e-commerce and returns logistics is a bonus Timeline We’re looking to begin immediately.
