Project Manager – Set Up Workflow For Tasks in a PM Tool

I am looking to set up a workflow process that intakes marketing requests from email or online forms and drops them into a project management tool for processing. I have a few categories of tasks that will likely be split between 2-4 expert teams: email, paid media, website, other. I want this to be very easy and streamlined for clients to submit and for my team to review outstanding tasks and complete. I use Asana, but as we get busy, it's difficult to transfer tasks from email into asana for processing. I want to create a separate process for this and use Asana to handle larger projects, or Asana can do both, but I want to separate these workflows so they do not bog down account managers with routine follow ups. Open to suggestions on platforms and how to structure. Thanks
