Illinois Campaign Event Scheduler and Venue Coordinator (Political Field Operations)

Job Title: Illinois Campaign Event Scheduler and Venue Coordinator (Political Field Operations) ⸻ Job Description: We are hiring a highly detailed, proactive campaign scheduler and venue coordinator to support a statewide U.S. Senate campaign in Illinois. This position is responsible for identifying, verifying, and scheduling small, in-person campaign events across the state — not rallies, media events, or content production. The focus is on getting in rooms, engaging communities, and mapping a travel schedule for the candidate from May 18, 2025 to March 17, 2026, aligned with a structured campaign travel rhythm. This work is field operations-level scheduling and coordination, not basic data entry. You will work under a pre-defined travel strategy and event rhythm, and be expected to plan events down to the exact address, time, venue capacity, cost, point of contact, and local promotion opportunities. This work requires significant outreach, verification, and follow-up with venues, local leaders, and permitting offices across Illinois. ⸻ Core Responsibilities: 1. Venue Research and Verification • Identify suitable venues for campaign events in each assigned town or neighborhood. • Contact the primary venue and identify at least two alternative options in each area. • For each venue, confirm and record: • Full address • Contact name, phone, and email • Event capacity • Rental cost (if any) • Availability for specific dates/times • ADA accessibility • Parking options • If they allow community events or political meetings • Whether they can help promote the event locally (flyers, website, bulletin board, newsletter, etc.) 2. Event Classification and Matching • Schedule appropriate event formats depending on the space and geography: • Town Hall: indoor venue, chairs, mic, 30–100 attendees • Listening Session: similar to town hall but more intimate • Street Corner Stump: outdoor/visible spot (grocery lot, post office, town square) • Coffee Chat: small café or open space for 10–20 people • Understand the difference and suggest the right format for each stop. 3. Permits and Public Access (Stump Events) • For outdoor stump events, call local law enforcement or city permitting office to ask: • Are political stump speeches allowed in this location? • Do we need a permit? • Who do we contact to get that permit or permission? 4. Local Leader Engagement • Contact the following in each area to ask about local venues and offer collaboration: • Local Democratic Party chairs or precinct captains • Union halls and labor organizers • VFW hall managers • Community organizations • Neighborhood associations (especially in Chicago) • Ask if they: • Have space to host • Can promote a community event • Would like to co-host, attend, or support 5. Travel Time Estimation and Routing • Base all travel estimates on candidate’s starting location: 9416 S. Burley Ave, Chicago, IL 60620 • For each swing or event day, calculate: • Drive time from previous event or home base • Feasible number of events per day by geography • Logical event clusters (e.g., Decatur-Champaign-Springfield in one swing) 6. Detailed Planning Documentation For every scheduled or proposed event, you must provide: • Date and time • Town and region • Event type (town hall, stump, etc.) • Venue name and full details • Backup venue options • Permit requirements (if outdoor) • Law enforcement or city contact info (if applicable) • List of local party/community leaders contacted • Notes on local promotion capacity ⸻ Skills Required: • Scheduling or field operations experience in campaigns, nonprofits, or events • Excellent research and outreach communication skills • Strong organization, task-tracking, and time estimation ability • High attention to detail • Comfortable using Google Sheets, Google Calendar, and Zoom/phone for follow-ups • Familiarity with Illinois geography is a strong plus ⸻ Timeline: • Start: Week of May 6, 2025 • End: March 17, 2026 (Illinois Primary Election) • Weekly rhythm already defined: • Week 1 & 3: Chicago + Collar Counties • Week 2: Central/Western Illinois Swing (3–4 day travel) • Week 4: Southern Illinois Swing (3–4 day travel) ⸻ Expectations: • This is a planning role, not passive data entry. • You will need to call, verify, ask the right questions, and proactively solve problems. • You must think regionally, plan efficiently, and track every detail. • Your work will directly impact the candidate’s ability to meet voters face to face.
