Overview Gardens by Oz is a boutique landscaping and design company based in Norfolk, Virginia. We’re looking for a proactive and highly organized Virtual Assistant to support our team with customer communication, CRM implementation, scheduling, and project coordination. This role is ideal for someone with experience supporting small service-based businesses and who thrives in a dynamic, collaborative environment. We are hoping to fill this position as soon as possible, and onboarding will begin promptly upon hiring. This is a 6-month part-time position (W2 or 1099 based on arrangement), with the possibility of extension. Key Responsibilities – Answer and manage phone calls on Tuesdays and Wednesdays (between 8am–6pm ET) – Input and organize customer data in our CRM system (experience with Jobber is a plus) – Add highly detailed notes to customer files and triage priority levels appropriately – Research, identify, and help implement a centralized system to streamline customer communication and records across platforms (Jobber, Outlook, Dialpad, etc.) – Create and maintain Kanban boards and trackers to visualize project workflows – Promptly monitor and respond to emails on behalf of the business and business owners – Relay and clarify information between owners, team members, and clients as needed – Help screen candidates for new team members (schedule interviews, conduct initial outreach, etc.) – Help manage and book travel arrangements for owners – Place online orders as needed – Help manage and follow up on accounts payable and accounts receivable for both customers and vendors Requirements – Proven experience supporting small service-based businesses or executive assistant experience – Comfortable working in a fast-paced environment and helping improve internal processes – Familiarity with CRM systems; experience with Jobber strongly preferred – Excellent communication skills (written and verbal) – Tech-savvy with the ability to learn new tools quickly – Highly organized, detail-oriented, and self-motivated – Availability to answer phone calls on Tuesdays and Wednesdays from 8am to 6pm ET – Ability to manage time efficiently in order to respond to customer and team requests promptly – Exceptional customer service skills and follow-up – A strategic thinker who can help improve team workflows is strongly preferred – Excellent problem-solving skills – Availability to work in the U.S. Eastern Time Zone – customer service is expected to be provided from 8am – 6pm
