Position Title: Operations Manager - Tax & Accounting The reason this position exists at Cerebral Tax Advisors: This role exists to ensure the efficient and effective delivery of tax preparation and accounting services to Cerebral Tax Advisors' clients. This role is critical for streamlining processes, managing departmental staff, implementing best practices, and ensuring high-quality output and client satisfaction. Without this role, Cerebral Tax Advisors may face challenges in scaling operations, maintaining service quality, and achieving strategic growth objectives within its core service departments. Responsibilities: Oversee and manage the daily operations of the tax preparation and accounting departments, ensuring smooth and efficient workflow. Develop, implement, and refine operational policies, procedures, and systems to enhance productivity and quality of service. Lead, mentor, and manage a team of tax preparers and accountants, including performance management, training, and professional development. Monitor departmental performance against key metrics and implement corrective actions as needed to meet goals. Ensure compliance with all relevant tax laws, regulations, and professional standards. Manage client onboarding, communication, and ensure exceptional client service delivery. Collaborate with other departments (e.g., Technology, Marketing, Sales) to optimize processes and achieve company objectives. Oversee the adoption and effective utilization of departmental software and technology. Prepare and analyze operational reports for senior management, providing insights and recommendations. Manage departmental budgets and resource allocation effectively. Resolve complex operational issues and client escalations in a timely and professional manner. Drive continuous improvement initiatives within the tax and accounting departments. KPIs (Key Performance Indicators): Client Retention Rate: Maintain or improve client retention within the tax and accounting departments. Turnaround Time: Achieve agreed-upon turnaround times for tax return preparation and accounting deliverables. Accuracy Rate: Maintain a high level of accuracy in tax filings and accounting records. Team Productivity/Utilization: Ensure optimal productivity and utilization rates for departmental staff. Client Satisfaction Scores: Achieve or exceed target client satisfaction scores. Budget Adherence: Manage departmental expenses within the allocated budget. Staff Attrition Rate: Maintain a low staff attrition rate within the departments. Process Improvement Implementation: Successfully implement a target number of process improvements or efficiencies per quarter/year. Resources for this role (tools): Tax Software: (UltraTax CS) Accounting Software: (QuickBooks) Workflow/Project Management: TaxDome, Trello Client Relationship Management (CRM): TaxDome Communication & Collaboration: Google Suite (Gmail, Docs, Sheets, Calendar, Meet), Zoom, Loom Document Management: Secure cloud storage, TaxDome Skills necessary: Proven experience in operations management, preferably within an accounting or tax preparation firm but not required. Strong leadership and team management abilities, with experience in coaching and developing staff. Excellent organizational, strategic planning, and problem-solving skills. Strong analytical skills with the ability to interpret data and generate actionable insights. Exceptional communication (written and verbal) and interpersonal skills, with a focus on client service. Ability to manage multiple priorities in a fast-paced environment and meet deadlines. Strong attention to detail and commitment to accuracy and quality. Experience with process improvement methodologies (e.g., Lean, Six Sigma) is a plus. Adaptability and proficiency in learning and implementing new technologies. High ethical standards and professional integrity. Exposure to or experience with Entrepreneurial Operating System (EOS) a plus.
