Outreach & Lead Gen for High End Event


The Artificiality Institute is a nonprofit think tank shaping the human experience in a world of synthetic intelligence. We’re seeking a highly organized, communicative, and proactive sales & marketing coordinator to help drive outreach & lead generation for our flagship event—the Artificiality Summit—and to support broader growth efforts across donor engagement, CRM setup, and executive coordination. We’re looking for someone who can confidently manage up, communicate clearly on our behalf, and keep complex threads of outreach moving forward—all while working in alignment with our purpose and pace. Key Responsibilities: • Summit Lead Generation: • Research and identify potential attendees, speakers, and sponsors • Send and manage outreach messages (email, LinkedIn, etc.) • Track responses and follow-ups in our CRM (HubSpot) • CRM & Donor Support: • Help finalize and structure our HubSpot system • Input contacts, design workflows, and organize outreach pipelines • Support donor prospecting, communications, and meeting scheduling • Executive Support & Communications: • Manage meeting calendars and prep materials • Assist with email and message drafting, social media scheduling, and inbox triage • Act as a trusted liaison with external partners and collaborators What You Bring: • Strong writing and communication skills • Experience with outbound outreach and CRM tools (preferably HubSpot) • Ability to track details across many conversations and follow up reliably • Comfort operating independently, managing up, and working directly with executives • Based in the United States and available during Pacific Time working hours • Bonus if you’ve worked in nonprofit, event, or donor-related roles Details: • Start: Immediate • Hours: ~10 hours/week, with potential to grow • Location: Remote, US-based required (Pacific Time preferred) • Rate: Based on experience How to Apply: In your application, tell us about a time you successfully managed outreach or communications for an event or campaign.
