The best (or worst) Executive Assistant Job Let's get to the good part. My small virtual law firm is growing, and I need a detail-oriented, proactive, and highly trustworthy Executive Assistant to help me keep everything running smoothly. In short, i'm running out of time and I am looking to someone who can help bring order to the chaos. You’ll have flexibility, autonomy, and a lot of variety in your day-to-day tasks. But let’s be real, this role will not be for everyone. So let me get the bad stuff out of the way upfront: -The hours are inconsistent to start. Some weeks may be 5–10 hours, and others may be zero. That said, we are busy enough at this point, where I anticipate that you will hit 20+ hours a week very quickly. However, as my firm grows, I hope this will evolve into a steady part-time or even full-time role. It’s an executive assistant role- which means administrative work like managing emails, scheduling, organizing documents, and coordinating with clients. If that doesn’t excite you, this probably isn’t the gig for you. -My work is fast-paced and unpredictable. You’ll need to be adaptable, self-sufficient, and comfortable figuring things out without me holding your hand. -I am a dad with little kids. This means that my life is unpredictable. Some weeks I'll be around at the drop of a hat. Other weeks, you might not hear from me at all or be able to get any feedback because i'm busy with sick little ones or out of the office. So if you are the kind of person that needs 24/7 step-by-step instructions and can't think on your feet, then this probably isn't the role for you. - Fixed-ish hours. Generally speaking I'm looking for someone that can be available between 9am - 2:00pm Central Time. Client's are involved and you will be client facing, so being generally available during working hours is a must. Now for the Good Stuff ✅ Work from Anywhere – No office commute, no bad coffee ✅ Interesting Work (Sometimes) – Some of it is just admin, but you’ll also be a key part of my team, keeping things on track and helping me manage and grow the firm. ✅ Autonomy & Ownership – I want someone who takes charge, keeps me on track, and isn’t afraid to "manage up." What You’ll Be Doing -Email & Calendar Management – Keeping my inbox from becoming a disaster zone. -Client Coordination – Scheduling meetings, handling onboarding, and making sure they have what they need. -Document & File Organization – Drafting engagement letters, tracking agreements, and keeping everything in its place. -Billing & Invoicing – Sending invoices and making sure clients actually pay them. -Project & Task Management – Using ClickUp to track tasks and deadlines. -General Administrative Support – Helping with random business tasks so I can focus on legal work. You’d Be a Great Fit If… -You love getting things done and hate chaos. -You can handle confidential information with discretion (big deal in a law firm). -You’re tech-savvy and can learn new tools quickly. -You're able to problem solve and can take loose direction and "figure it out" -You’re comfortable communicating with clients, even when things don’t go smoothly. -You take initiative and don’t need constant check-ins to stay productive. -You have the ability to "anticipate" needs. Hours & Pay -Part-time (Independent Contractor) to start – Expect 10–20 hours per week, with the possibility of more. -$20-$30 per hour, based on experience. -Location: 100% remote—but preferably within 3 hours +/- of Central Time to make scheduling easier.
