Administrative Project Coordinator

Job Summary: We are seeking a detail-oriented and proactive Administrative Project Coordinator to support our operations, sales, and finance teams. This vital role ensures smooth project execution, accurate data management, and effective communication with brokers, manufacturers, and clients. The ideal candidate thrives in a fast-paced, collaborative environment and is excited to contribute to Clear’s continued growth and operational excellence. ________________________________________ Key Responsibilities: RFP Coordination: • Collaborate with cross-functional teams (finance, sales, operations, distributors) to gather data for RFP preparation. • Apply financial insights to establish competitive and profitable client pricing. • Communicate pricing analysis and financial implications to Sales Operations and Account Executives. Project Management Workspace: • Update and maintain project management systems (PipeDrive). • Ensure accurate and timely project data entry and file organization. • Collaborate with sales and finance to track timelines and milestones. • Manage multiple projects at various stages simultaneously. Administrative Support: • Maintain and update customer records and databases with high accuracy and confidentiality. • Communicate with brokers and manufacturers to coordinate information and follow up on inquiries. • Answer and direct phone calls and emails professionally. • Prepare and edit correspondence, reports, and presentations. • Perform general office duties, including filing, data entry, mailing, and supply management. • Schedule meetings, appointments, and coordinate team calendars. Workflow and Process Optimization: • Identify and implement workflow improvements to streamline operations and data analysis. • Share ideas for improving efficiency and operational success.
