Executive Support– Project Management & Operations | Tech-Savvy


We're a high-impact HR people-centered consultancy seeking a strategic, systems-minded Virtual Assistant who thrives on organization, clarity, and results. This role is about helping leadership convert vision to execution. You'll be a strategic partner, managing and tracking priorities, coordinating multiple projects and consultants, and managing workflows supporting revenue growth. Flexible hours are required: either a two-hour standing weekly meeting or one hour twice weekly. Responsibilities You'll work directly with the COO to: • Prioritize and organize weekly business goals (Marketing, Forecasting, etc.). • Help build and support an execution engine for projects--not just managing. • Coordinate with consultants, vendors, and at times clients to ensure smooth project execution • Track all projects, proposals, follow-ups, and sales pipeline. • Prepare meeting agendas, project recaps, and task lists to keep us focused • Build SOPs for repeatable workflows • Keep digital files, links, and shared docs organized • Tech-proficient: MS Family, Google Workspace, project tools, email platforms (e.g., ActiveCampaign, Asana, Trello, or something equivalent), and understand social media. You Must Be... • A project manager ready to build order • Highly organized, proactive, and able to track multiple moving pieces • Skilled in tracking and project tools. • Very comfortably working directly with a C-Level executive and professional team • A clear communicator — you follow up and can hold people accountable with grace • Resourceful — if you don't know it, you find out and get it done
