New Azure VM RDS Deployment

Project Overview We are seeking to deploy a Remote Desktop Services (RDS) environment in Microsoft Azure for 10 internal users (with the ability of adding users in the future). The environment must support secure and simultaneous access to multiple Windows-based applications. The vendor must configure all infrastructure, security, and software components necessary for a fully functional and compliant RDS environment. Core Functional Requirements 1. Azure Environment Setup • Activate or assist with Azure subscription setup. • Provision and configure a dedicated Virtual Network (VNET). • Configure appropriate Network Security Groups (NSGs) for secured RDP access. 2. Directory Services Integration • Deploy and configure Microsoft Entra Domain Services (Azure AD DS). • Ensure user accounts and group policies can be managed centrally. • Sync users from existing Entra ID. 3. RDS Virtual Machine Deployment • Provision a Windows Server-based VM with specs to support 10 concurrent users. • Hardware Specs: D16s v5 • Join VM to Microsoft Entra Domain Services. • Install and configure the following RDS roles: o Remote Desktop Session Host o Remote Desktop Licensing Server 4. Licensing • Provide and install RDS User CALs for 10 users. • Ensure CALs are properly activated on the license server. • Provide licensing documentation for compliance purposes. 5. Application Deployment Install, configure, and validate the following desktop applications: • QuickBooks Desktop Accountant & Enterprise (latest versions) • ATX Payroll software • Sales tax software • CCH Planner • CCH Fixed Assets • Ultra Tax 2022, 2023. Note: Only QuickBooks is required to be installed by the vendor. All other applications will be installed and licensed internally. All apps have been verified to work in a VM environment. 6. Data Migration • Provide a secure method to migrate data and application files to the VM, for internal users and external clients (receiving QBD files). • Assist with migrating data and configurations from current environment (local desktop). 7. Security Configuration • Install and configure an SSL certificate for RDP Gateway/Web Access. • Entra-integrated user authentication • Multi-factor authentication • Endpoint protection (Will be handled internally and added to our stack) • Disk encryption (BitLocker or equivalent) 8. Testing and Validation • Perform end-to-end testing. • Validate that all applications function correctly. • Confirm RDC performance, session stability, file access, and app speed. 9. User Access and Documentation • Configure access for 10 users. • Provide a simple end user guide for connecting to the RDS environment: o IP/hostname o Login instructions Deliverables • Fully deployed and tested Azure-hosted RDS Server. • Working access for 10 users. • Licensing compliance documentation. • RDC user instructions document. • Post-deployment support for 30 days (hourly as needed). Timeline Please include: • Estimated start date after approval • Total project duration • Any lead times for licensing or certificates Quote Requirements Please provide a quote that includes: • Itemized pricing (infrastructure, licensing, labor) • One-time vs. recurring (monthly/annual) costs • Future support hourly rate.
