We are a technology solutions provider based in Saudi Arabia, offering Managed IT Services, Cloud Solutions, Cybersecurity, IT Infrastructure Projects, Business Applications, and Software Services to both B2B and B2C clients across various sectors. We are currently using Odoo CRM, and we are seeking a highly qualified CRM Consultant to help us design and document a scalable, optimized CRM structure and develop the necessary Business Requirements Document (BRD) tailored for our entire sales cycle, which includes the CRM, Sales, and Purchase Request (PR) modules. The consultant will be responsible for defining system logic, workflow automation, and AI-driven recommendations, all based on global CRM best practices and specifically optimized for tech industry sales environments. The finalized BRD and documentation will be used by our internal Odoo development team for system implementation. Project Objectives: • Assess the current CRM setup and internal business processes • Design a future-ready CRM structure tailored to our sales workflow • Define full automation across CRM, Sales, and PR modules • Recommend AI-driven enhancements • Build BRD that covers all system requirements identified during the assessment phase Scope of Work: 1. Business Process Review • Conduct interviews with key internal stakeholders • Review current Odoo modules (CRM, Sales, PR) and usage • Identify pain points, inefficiencies, and missing workflows • Understand lead-to-order lifecycle and sales management needs 2. CRM Best Practice Design & Workflow Mapping • Recommend ideal pipeline stages and process flows • Define roles, user permissions, and responsibilities across modules • Standardize data fields, tagging methods, and approval hierarchies • Design workflows that integrate internal/external tasks, opportunity stages, and PR requests 3. Automation & AI Integration Plan • Map automation for follow-ups, activity creation, stage transitions, and approvals • Identify and recommend AI use cases (e.g., lead scoring, task suggestions, sales forecasting) • Suggest compatible tools or modules for AI within Odoo or via third-party integration 4. Build the Business Requirements Document (BRD) • Create a clear and structured BRD that includes: o CRM, Sales, and PR module workflows o System logic and user roles o Automation rules and logic flow o AI enhancement recommendations o Commission calculation framework and performance tracking logic o Reporting requirements by department and user level (e.g., sales team, operations, executive) o Any additional requirements gathered during the assessment 5. Reports & Dashboards • Define essential reports needed by sales, management, and operations • Recommend dashboards customized by role (e.g., KPIs, activities, performance tracking) • Identify what metrics and filters should be available for real-time monitoring • Ensure the reporting structure supports decision-making and performance evaluation 6. Documentation & Usage Guidelines • Include process diagrams, usage rules, and role-specific responsibilities • Provide internal CRM usage policy and best practices 7. Optional: Walkthrough or Training Session • Deliver a recorded or live session to present the structure and documentation to key stakeholders Ideal Consultant Profile: • Proven experience designing Odoo CRM for tech or IT service companies • Strong understanding of CRM workflows, B2B/B2C sales cycles, and multi-module integration • Experienced in building detailed BRDs for development teams • Familiarity with automation flows, reporting structure, KPI dashboards, and commission logic • Strong knowledge of AI tools or features applicable within CRM systems • Must share references or examples of similar projects (preferably including clients in Saudi Arabia) • Fluent in English; Arabic is a plus • Note: This is a consulting and documentation project — no development is required Project Timeline & Budget: • Duration: 4–6 weeks (part-time, milestone-based) • Engagement: Fixed price preferred • Start Date: Immediate To Apply, Please Include: • Summary of your experience with Odoo CRM • Examples of past projects, particularly in the tech sector or within Saudi Arabia • Your approach to CRM assessment, BRD development, automation, reporting, and AI planning • Estimated timeline and fixed-price quote
