We are seeking an experienced Commercial Property Management Assistant with a strong understanding of Australian commercial property management practices. This role involves supporting the Commercial Property Manager by handling day-to-day tasks and ensuring the smooth operation of a variety of commercial properties. Key Responsibilities: - Regularly review and monitor rent arrears. - Send arrears reminders and follow up with tenants to ensure prompt payment. - Track and report on outstanding payments, escalating issues to the Property Manager as needed. - Raise maintenance requests for repairs, services, and tenant-related issues. - Follow up on maintenance tasks to ensure they are completed efficiently and within agreed timeframes. - Communicate with contractors and vendors, and ensure tenants are updated on progress. - Assist with the preparation and review of outgoings reconciliations for each property. - Verify invoices and help ensure tenants are billed correctly according to lease terms. - Help resolve discrepancies in charges and ensure accurate tenant billing. - Conduct market research by reviewing recent leasing evidence from platforms such as Real Commercial and other commercial real estate websites. - Gather and organize comparable leasing data in Excel format - Assist in analyzing market trends and rent rates to ensure the properties remain competitive. - Maintain accurate and up-to-date records for all property management tasks and prepare the required reports. - Assist with scheduling and coordinating property inspections, lease renewals, and other administrative tasks. - Liaise with tenants regarding rent payments, maintenance issues, and general inquiries. Skills & Experience Required: - At least 2 years of experience in Australian commercial property management with verifiable references. - Strong understanding of arrears management, maintenance coordination, and outgoings reconciliations. - Highly proficient in Microsoft Excel, property management software, and Re-leased - Excellent communication skills with a customer-focused approach to liaising with tenants, contractors, and property owners. - Strong attention to detail and organizational skills, with the ability to manage multiple tasks efficiently. This role will require you to work for 5 hours per week during Sydney working hours. Part-timers in the similar role are encouraged to apply.
