I’m an executive based in the Eastern U.S. who balances a demanding business schedule, family life, and multiple side ventures. My wife also juggles travel, appointments, and household errands. We’re seeking one detail-obsessed Virtual Assistant (approximately 10–15 hours per week, retainer about $500-$1,000/month) to become our right hand - owning the calendar, coordinating vendors, filing expenses, and making sure birthdays, gifts, and vet visits never slip through the cracks. ⸻ CORE RESPONSIBILITIES CALENDAR & SCHEDULING • Guard focus time by clustering business meetings on Wednesdays and Thursdays • Handle personal events, family plans, and friend catch-ups • Track birthdays and send timely cards or gifts TRAVEL LOGISTICS • Research and book flights, hotels, and rental cars • Build itineraries and manage last-minute changes PERSONAL ERRANDS & APPOINTMENTS • Schedule doctor, dentist, vet, hair, and car-service appointments • Arrange pet sitters when we travel HOUSEHOLD / VENDOR COORDINATION • Schedule and pay oil deliveries, propane, cleaners, exterminators, etc. • Maintain a simple Trello (or similar) board so we always know what’s next EXPENSES & RECEIPTS • File receipts weekly and tag them in QuickBooks Online HOME-MAINTENANCE LOG • Keep a Google Sheet of service dates, warranties, and upcoming tasks PET CARE • Book vet visits, refill prescriptions, manage recurring orders for food and litter SHOPPING & GIFT CONCIERGE • Maintain an online shopping list, reorder consumables, and suggest thoughtful gifts (Nice-to-have, lower priority: bill-payment tracking and cloud-document tidy-ups.) ⸻ MUST-HAVE SKILLS & TOOLS • Proactive and **highly organized** - you don’t wait to be asked twice • Detail-oriented with strong follow-through • Excellent written English; able to draft formal, professional emails in my voice • Comfortable with Outlook Calendar, Office 365, Google Sheets, Apple Reminders, QuickBooks Online • Familiar with email, iMessage/Signal, and a task board (Trello, ClickUp, Asana) • Discreet with sensitive personal and financial data ⸻ AVAILABILITY & COMMUNICATION • Mostly asynchronous is fine, but you must have some overlap with U.S. Eastern Time for same-day calendar requests • Prompt replies within 24 hours on business days ⸻ SECURITY • NDA signature required • Standard background check preferred • U.S. candidates are a plus, but all locations will be considered if communication hours fit ⸻ COMPENSATION • Monthly retainer of about $500-$1,000 for roughly 40–60 hours per month (≈ $10–$25/hr) • Additional hours (with prior approval) billed at the agreed hourly rate within that range ⸻ START & TRIAL • Target start: within the next two weeks • One-month paid trial; if we’re both happy, we’ll extend long-term ⸻ HOW TO APPLY (PLEASE READ CAREFULLY) 1.
