We are seeking an experienced scheduler for our home care agency who is proficient in using AxisCare. The ideal candidate will manage staff schedules, coordinate client visits, and ensure efficient operations within our team. Familiarity with home care scheduling software and exceptional organizational skills are essential. Position Summary: The SCHEDULER is responsible for coordinating caregiver schedules to ensure clients receive timely and appropriate home care services. This role involves matching caregivers with clients based on needs, level of skill and availability, handling schedule changes, and maintaining efficient communication between caregivers, clients, and the office team. Key Responsibilities: Scheduling & Coordination: -Assign caregivers to client shifts based on availability, client needs, and skills. -Maintain and update the scheduling system to reflect changes. -Ensure continuity of care by minimizing caregiver changes. -Closing gaps on all holes and schedules, planning out at minimum two weeks in advance to a month in advance -Taking meticulous notes regarding any changes of any kind with any shift, caregiver or a client. -Maintaining notes and changes giving great attention to detail within our system of record platform. -Working with Recruiting to identify vulnerabilities in staffing, and communicating staffing needs and changes. -Finalizing all shifts after they have been completed in preparation for billing. -Creating new schedules for all incoming clients and working with the sales and marketing team to understand what's in the pipeline. -Scheduling our nurse for scheduling orientations, skills overviews and assessments when necessary. -Scheduling caregivers to come into the office for skills training and special events. Communication & Support: -Serve as the main point of contact for caregivers regarding scheduling. -Notify caregivers of schedule changes and confirm shift assignments. -Communicate with clients and families about scheduling adjustments. -Address caregiver callouts by arranging replacements promptly. -Actively updating our system of record platform (Asana and AxisCare) records with client complaints and issues, caregiver refusal of work, tardiness, callouts and sick days. Compliance & Documentation: -Ensure all scheduled caregivers meet compliance requirements (certifications, background checks, etc.). -Track caregiver attendance, tardiness, and missed shifts. -Document all scheduling interactions and maintain accurate client records. ProblemSolving & Emergency Coverage: -Handle last minute schedule changes and urgent coverage needs. -Coordinate with management to resolve scheduling conflicts. -Maintain a backup plan for emergency situations. Required Skills & Qualifications: -Experience in scheduling, healthcare, or home care industry preferred. -Proficiency in scheduling and notetaking software (e.g., AxisCare, Asana, Slack, etc.). -Strong organizational and multitasking skills. -Excellent communication and problem solving abilities. -Ability to work in a fast-paced environment and handle emergencies. -Customer service skills to support caregivers and clients professionally.
