We're hiring a full-time Executive Assistant to help bring structure, speed, and clarity to our fast-moving media company. About the Role We’re looking for someone experienced, organized, and independently driven to support our executive team and help keep our projects, people, and priorities moving smoothly. This is a remote, full-time (40 hours/week) role, and you’ll be expected to operate with confidence, professionalism, and urgency. Key Responsibilities Executive Support: Manage calendars, coordinate meetings, and ensure the leadership team is where they need to be—physically and mentally. Organization & Systems: Set up and maintain project tracking systems, documentation, and internal processes. Help us run like a machine. Team Coordination: Keep internal teams on task and deadlines visible. Nudge, follow up, and help reduce friction across projects. Communication: Make and receive professional phone calls as needed. This includes vendors, partners, agencies, and sometimes local officials. Problem Solving: Anticipate needs, flag blockers, and resolve small issues before they escalate. Admin & Follow-Up: Take meeting notes, send summaries, log action items, and hold others accountable to them. Must-Have Qualifications Proven experience as an executive assistant, operations coordinator, or similar high-responsibility support role. Excellent organizational skills — you live for task lists, clear processes, and structured workflows. Strong verbal and written communication skills, including comfort making phone calls and handling external-facing conversations. Tech-savvy — experience with tools like Google Workspace, Slack, Notion, Trello/Asana, and calendar systems. Self-starter mindset — you take initiative and don’t need to be micromanaged. Bonus Points Experience supporting founders or C-level executives. Familiarity with media production, public records, or legal/admin environments. Comfort in fast-changing, sometimes chaotic work environments where your role evolves weekly.
