We are seeking a highly organized and detail-oriented Head of Operations to oversee the daily functions of the business, manage our virtual assistant team, and support our online community membership platform. This is a dynamic role that requires strong leadership, excellent communication skills, and the ability to multitask in a fast-paced online environment. Job Hours: Must be available to work between the hours of 8:30 am - 1 pm ET Monday-Friday. Job Responsibilities 1. Operations & Administrative Support Oversee the daily operations of the business, ensuring efficiency and productivity. Manage email communications, responding to inquiries, delegating tasks, and ensuring prompt follow-ups. Maintain and optimize the virtual assistant (VA) task tracker, ensuring all tasks are completed in a timely manner. Regularly check in with VAs to monitor progress, address challenges, and provide feedback. Implement and maintain standard operating procedures (SOPs) for various administrative and business processes. Assist with scheduling, coordinating events, and managing calendars for business activities. 2. Community Management (The Therapist Connection) Lead and oversee The Therapist Connection community, ensuring a welcoming and engaging environment for members. Moderate discussions, enforce community guidelines, and resolve conflicts when necessary. Encourage meaningful interactions and foster a supportive space for mental health professionals. Plan and execute engagement initiatives such as themed discussions, Q&A sessions, networking events, and live sessions. Coordinate and collaborate with guest experts for events, workshops, and online courses. Analyze community insights and feedback to improve the member experience. Address member inquiries, manage onboarding processes, and ensure high retention and satisfaction rates. Community Manager Duties & Responsibilities Content Creation, Posting, and Engagement Develop and maintain a content calendar to organize posts and ensure consistent engagement. Establish monthly themes to guide discussions, activities, and content. Plan and implement community challenges to encourage participation and interaction. Engage with members by fostering conversations, answering questions, and creating a welcoming environment. Create strategies to foster growth and attract new community members. Design and distribute surveys to gather feedback and improve community experiences. Develop community incentives, such as therapist bingo or other interactive elements, to keep members engaged. Event Recordings Management Upload event recordings to Mighty Networks within 24-48 hours of the event’s conclusion to ensure members have timely access to resources. Speaker Outreach & Workshop Coordination Pitch to potential speakers and secure engaging workshops for the community. Utilize a provided list of interested parties from the TTC team and send out emails to coordinate speaker availability and event details. Event Hosting & Support Attend and facilitate webinars, groups, and other online events when the primary host (or other designated hosts) is unavailable. Monthly Administrative Meetings Attend monthly admin meetings held on one Monday of each month at 5:30 PM ET to discuss updates, feedback, and future planning. 3. Content & Program Support Assist in organizing and coordinating online courses, workshops, and coaching programs. Oversee and manage digital resources and ensure content is accessible to community members. Collaborate with the marketing team to promote community initiatives, workshops, and events. Ensure smooth technical operations for webinars, live Q&As, and virtual meetings. 4. Marketing & Sales Responsibilities Develop and execute marketing strategies to increase brand awareness and sales. Pitch to potential sponsors and secure brand partnerships. Develop creative ideas for marketing campaigns to support brand collaborations. Write and manage marketing emails to promote digital products and increase sales for the online community membership. Work with the team to refine sales strategies and promotional efforts. Track marketing performance and optimize campaigns for better engagement and conversion. 5. Strategic Growth & Process Improvement Identify areas of improvement in business operations and implement strategies for efficiency. Monitor key performance indicators (KPIs) related to operations, community engagement, and customer service. Develop new operational strategies to enhance productivity and streamline workflows. Stay updated on industry trends and best practices to continuously enhance Therapist To Therapists' offerings. Qualifications & Skills Experience in operations, project management, or administrative roles (preferably in an online business or community-based setting). Strong organizational skills with the ability to prioritize and manage multiple tasks effectively. Excellent written and verbal communication skills to engage with community members and external partners. Experience managing virtual teams and delegation of tasks to ensure operational efficiency. Proficiency with digital tools and platforms: including project management software (e.g., Notion), email management tools, and community platforms such as Mighty Networks. Must be highly experienced in Canva, Mighty Networks, Email Marketing, Capcut, All Google Systems, and Notion. Must have experience in marketing and sales, including pitching to sponsors, developing brand partnerships, and executing marketing campaigns. Experience writing and managing marketing emails to promote digital products and increase sales. Problem-solving mindset with the ability to anticipate challenges and proactively implement solutions. Customer service and community engagement experience with an understanding of how to create a welcoming and inclusive space. Adaptability and flexibility to work in a fast-paced, evolving online business environment. Experience in the mental health field or a strong understanding of therapist needs is a plus. Must have experience leading presentations or hosting/public speaking, as this role requires hosting webinars with sponsored partners. The ideal candidate must be professional, friendly, and have experience leading and hosting a public forum such as a webinar. Attention to detail, proofreading, professionalism, timeliness, and a proactive and fast worker is a must.
