Systems Design Advisor Workflow and Systems Design Support (Monday.com + Automation Tools) About The Pollination Project Foundation The Pollination Project is a global philanthropic organization that makes seed grants to grassroots changemakers in over 120 countries. Our mission is to uplift and support volunteers and community leaders working to create a more compassionate, just, and sustainable world. We distribute hundreds of microgrants each year across issues like animal protection, environmental justice, and social equity. As part of a broader effort to modernize and streamline our grantmaking operations, we are transitioning from our legacy platform (Foundant) to a new, integrated workflow system built on Monday.com. What We Need We’re seeking a temporary consultant to help with two key needs: -Data migration: Extract and migrate data from our current system (Foundant) into Monday.com, ensuring accurate mapping and clean structure. -Workflow and systems design: Build a customized, efficient grantmaking workflow in Monday.com—incorporating automations, dashboards, and best practices to reduce manual work, improve data visibility, and enhance coordination across a distributed team. This project will also lay the groundwork for future integration of AI tools and workflow automation. For that reason, we’re looking for someone who brings general experience with automation system design and process optimization—not only technical fluency in Monday.com but also the ability to think holistically about how technology can enable smoother, smarter operations across platforms. The Ideal Consultant - Has strong experience building customized, automated workflows in Monday.com or similar platforms (e.g., Airtable, ClickUp, Notion) -Is proficient with tools like Zapier, Make, or other low-code/no-code workflow automation platforms -Has managed or supported data migration from legacy platforms -Brings a process-oriented mindset, capable of mapping organizational workflows and translating them into efficient technical systems -Is comfortable documenting processes and training staff on what’s built -Bonus: Familiarity with grantmaking, nonprofit operations, or foundation systems Timeline and Terms Start: As soon as possible Duration: ~2–6 weeks, part-time, with flexibility Format: Independent contractor / project-based consultant Location: Remote Compensation: Commensurate with experience
