Bookkeeper + Financial Admin for Online Retail Business (Ongoing Retainer Role) Posted yesterday We’re a fast-growing online retail company selling lifestyle and wellness products through our Shopify store and various online marketplaces. With a strong brand identity and a streamlined tech stack, we’re seeking a reliable and detail-oriented bookkeeper who can own our financial operations—from daily bookkeeping to light forecasting support. Scope of Work: This is an ongoing retainer role (10–20 hours/month on average) ideal for someone who’s comfortable handling both routine bookkeeping and financial admin in a digital retail environment. Responsibilities include: Full-cycle bookkeeping in QuickBooks Online, including monthly reconciliations (one main business checking account; revenue sources include Shopify, Amazon, and other third-party platforms) Sales tax filings: Prepare and file monthly or quarterly returns in multiple states (depending on nexus), and manage filings through Avalara or state portals Payroll administration: Run payroll semi-monthly via Gusto (or equivalent), ensure onboarding documentation is collected, and maintain accurate wage reporting Quarterly and annual reporting: Support preparation of financial reports for stakeholders and annual tax prep in collaboration with our CPA Budget tracking and forecasting: Help monitor cash flow, track expenses by category, and provide basic financial insights to support planning Systems and Tools You'll Work With: Shopify (eCommerce platform) QuickBooks Online (accounting software) Avalara or TaxJar (for sales tax automation) Gusto (payroll) Slack, Google Sheets/Drive (internal coordination and reporting) Ideal Candidate: Based in the U.S. (required) Strong experience with online retail and inventory-based businesses Advanced proficiency in QuickBooks Online Confident handling multi-state sales tax compliance Skilled in Gusto or similar payroll systems Able to communicate financial data in a clear, concise way Bonus Points For: Experience with Shopify, Amazon Seller Central, or similar eCommerce platforms Familiarity with inventory accounting and product-level reporting A background working with founder-led or mission-driven brands Time Commitment: 10–20 hours per month May require increased hours during quarter-end and year-end close Monthly Budget: $600–$850/month depending on experience and level of involvement with forecasting/reporting
