Design Phase We are a small business that processes employee lists for our clients each year. Currently, we manually scrub, compare, and validate these lists using Excel. We also generate clarification questions for clients and update records once responses are received. The current process includes: • Scrubbing and analyzing employee data • Comparing current lists to previous years’ lists to identify new or removed employees • Validating data for accuracy (e.g., checking for unchanged dates of birth) • Identifying missing data fields and creating questions for clarification • Updating records once clarification answers are received • Producing reconciliation reports that track the movement of employees from last year to this year, by reason (e.g., retirement, termination, death, disability, etc.) We are ultimately looking for an experienced professional to help us automate this process. However, for this first design phase of this project, we would like you set up a 60 minute call to: 1. Understand our current manual process in detail. 2. Recommend a few different solution pathways for automation, including: • An Excel-based add-in • A web-based tool • A solution using Python or other programming languages • Purchasing or leasing an off-the-shelf product that could fit our needs 3. Provide a clear analysis of each potential approach, including pros, cons, costs, and feasibility. 4. Ask all relevant questions we should be considering when developing the solution (such as scalability, data security, and integration with existing systems). 5. Ensure that the solution allows for transparency and provides us with easy access to and the ability to manipulate the data set. We do not want a black box solution where we cannot clearly see the data or easily confirm the output. 6. If the solution is not Excel-based, it must have the ability to export or produce Excel output. Additional Information: • Experience with process automation for small businesses is a plus • Looking for someone who can communicate technical details clearly and ask insightful questions • Must be able to evaluate and recommend off-the-shelf solutions alongside custom-built options
