Position: Executive Assistant (Podcast & Talent Agency Logistics + Outreach) Location: Remote (with occasional travel coordination) Type: Part-Time (15 hours/week) We’re seeking a highly organized, proactive Executive Assistant to help manage the day-to-day operations, logistics, and outreach efforts for both our podcast and talent agency. This role is ideal for someone who thrives on structure, communicates clearly, and understands the fast-paced world of digital media and influencer culture. You’ll be responsible for managing guest and talent outreach, coordinating logistics, and ensuring our internal systems are up to date and running smoothly. The ideal candidate comes to meetings prepared, takes initiative, asks thoughtful questions, and brings a strong sense of ownership to their work. ⸻ Key Responsibilities • Guest & Influencer Outreach: Manage all outreach efforts for both the podcast and talent agency, including curating and sending personalized messages via email and social media, sourcing contact information, and maintaining consistent follow-up communication. • Logistics & Coordination: Oversee scheduling and travel logistics for confirmed podcast guests, including booking flights, rental cars, and locations when necessary. Manage internal databases and ensure all tracking systems are up to date and organized. • Meeting Preparation & Reporting: Attend weekly team meetings fully prepared with updates, questions, and next steps. Take detailed notes and ensure timely follow-up on all action items. • Talent Research & Lead Generation: Proactively research and identify potential talent and influencers for the agency, tracking outreach and onboarding progress in an organized and systematic way. ⸻ What We’re Looking For • Highly organized and detail-oriented, with strong time management skills • Proactive communicator who comes to meetings prepared and ready to contribute • Strong working knowledge of social media platforms (Instagram, YouTube, TikTok, etc.) • Comfortable writing and sending outreach messages on behalf of others • Able to manage multiple moving parts and stay ahead of deadlines • Experience with talent/influencer outreach or logistics coordination is a plus ⸻ Hours & Pay • Part-time: Approximately 15 hours/week ⸻ If this sounds like you, we’d love to hear from you.
