I am seeking a highly organized, proactive, and detail-oriented Executive Assistant (EA) to support me in managing all aspects of my professional and personal operations. The EA will serve as the primary point of contact for scheduling, email management, media coordination, travel logistics, business administration, client intake, and billing/invoicing. Inbox & Calendar Management • ✅ Own Angela’s inbox and email communication by filtering, prioritizing, and responding as needed. • ✅ Schedule and coordinate meetings, calls, and appointments while ensuring optimized time management. • ✅ Develop and maintain a master scheduling playbook for seamless calendar oversight. • ✅ Handle rescheduling, cancellations, and meeting follow-ups with efficiency and professionalism. 2. Client Intake & Scheduling • ✅ Oversee full intake process for Potential New Clients (PNCs) before scheduling consultations. • ✅ Gather necessary details and qualify inquiries based on pre-set criteria. • ✅ Ensure smooth onboarding and communication between clients and the firm. 3. Media, PR & Podcast Coordination • ✅ Serve as the main point of contact for all media inquiries, speaking engagements, and interviews. • ✅ Proactively research and pitch Angela for relevant industry podcasts, panels, and press opportunities. • ✅ Coordinate guest appearances for Angela’s podcast, including outreach, scheduling, and briefing preparation. • ✅ Track media engagement and PR performance metrics. 4. Travel & Event Coordination • ✅ Book and manage travel arrangements, including flights, hotels, and transportation. • ✅ Prepare detailed travel itineraries to ensure smooth logistics. • ✅ Oversee conference registrations, RSVPs, and networking event logistics. 5. Business Administration & Operations • ✅ Liaise with accountants, vendors, and service providers to ensure operational efficiency. • ✅ Maintain accurate financial records, invoices, and payment tracking. • ✅ Implement time-saving automations and workflow improvements. • ✅ Assist with internal team meeting coordination and action item follow-ups. 6. Billing & Invoicing Management • ✅ Track client payments and outstanding balances to ensure timely collection. • ✅ Prepare and send invoices on schedule while maintaining accurate records. • ✅ Coordinate with accounting and financial teams to ensure proper documentation and reporting. • ✅ Monitor recurring payments and subscriptions to prevent lapses or overcharges. • ✅ Maintain organized financial records for tracking, audits, and tax purposes. 7. Content & Marketing Support (Excluding Social Media Management) • ✅ Research and track speaking engagements, media features, and thought leadership opportunities. • ✅ Assist in content organization for Angela’s writing, speaking, and legal resources. • ✅ Support outreach efforts to podcast guests, media contacts, and event partners. 8. Systems, Workflows & Confidentiality • ✅ Regularly review and improve email, scheduling, and workflow efficiency. • ✅ Ensure confidential handling of sensitive legal, financial, and business information. • ✅ Implement secure storage and organization of key documents and records. 9.
