Hello and thanks in advance for your interest. Aspira Health and Wellness (AHW) is seeking a U.S. based virtual Administrative Assistant (AA) for its boutique psychiatry and wellness practice. The practice serves high functioning executives and professionals. There is no physical office. All services are provided online to clients. The services of an AA are required for approximately 2-5 hours/week, with the potential of expanding depending on goodness of fit for additional duties. The hours are on-demand/as needed, meaning there is no set schedule. Hours of as-needed assistance fall between Monday through Friday 9am -6pm EST. This is a remote, part-time, 1099 contractor (not employed) position, with hourly compensation. The assistant must reside and have citizenship in the continental United States. AA Job Tasks and Responsibilities: -One time self-directed training: Ability to thoroughly review and complete the provided training documents and materials (approximately 2-3 hours). There will be a follow-up meeting to review any questions the AA may have and to assess AA’s understanding of the training materials. -Scheduling clients/patients: conducted via the online/app scheduling software. Patients may also call or email the AA to schedule appointments. -Phone Calls and email: AHW uses an online/app based phone service that works through a smartphone and tablet app. The AA will need to have a smartphone to access the app/phone service. Hours of as-needed phone coverage (mainly checking voicemails and returning calls) are Monday through Friday 9-6 EST. Availability to answer live/incoming is encouraged and appreciated, but it is not required that every call be answered live. However, emails, voicemails, and calls will need to be responded to within 12-24 business hours. Calls should only be returned between 9am-7pm EST to respect the privacy of callers. -Screening prospective clients/patients: Use the practice’s pre-screening questionnaire to screen potential patients seeking AHW or the doctor’s services. Much of the information collected in the questionnaire is clinical in nature, so attention to detail is essential. -Onboard new clients and assist clients/patients with accessing teleconference/zoom meetings with the doctor and AHW staff -AA must not share, contract out, assign or delegate the duties of this position to another party/person. -Other as needed administrative tasks as determined by AHW’s leadership. Highly Valued Skills Required for This Position: -Excellent customer service skills that are well suited for high-end, professional clientele -Polite, professional communication skills -Strong written and verbal skills. Emails and all forms of correspondence internally and with patients and external parties must be written using complete, grammatically correct sentences, with professional greetings and closings. -Excellent attention to detail. Ability to closely follow workflows. -Ability to closely follow written and verbal directions -Excellent web, smartphone app, and computer skills -Ability to work efficiently and effectively in a self-directed manner -Efficiency and strong organizational skills -Flexibility -Good communication skills. -Open to receiving feedback and direction -Prior Healthcare Experience -Ability to read (typed) physician notes and relay requested information to pharmacists, therapists, and/or patients Highly Valued Skills NOT Required for This Position: -Triage and screening of patient/client -Ability to read (typed) physician notes and relay requested information to pharmacists, therapists, and/or patients -Prior mental health experience -Social media and marketing content creation -If in the Atlanta area, reliable transportation, clean driving record, and the ability/availability to provide in person admin/personal assistance is a major plus, though not required Access to following is required: -Smartphone (preferred): ability to download apps -Computer or tablet -Daily (Monday-Friday) access to email and voicemails -Quiet, private workspace to field calls and communications with patients, physicians, and other healthcare professionals. (Due to HIPAA/confidentiality requirements, family and other people are not allowed within the same room when conducting any AHW business.) Other Requirements: -Job Application -2-3 professional references -HIPAA compliance: adherence to basic healthcare confidentiality practices. There is a required HIPAA training and HIPAA agreement that will need to be signed. -Criminal Background Check -Bachelor’s Degree (Will consider an Associates Degree if there is substantial work experience) -Previous experience working in a medical setting is preferred although not required
