Role Overview As the Full-Time Bookkeeper / Fractional Bookkeeper at WKND Investments, you’ll be responsible for managing the day-to-day financial operations of WKND’s portfolio of service-based marketing agencies. Your role will go beyond the traditional bookkeeping responsibilities, integrating AI-driven financial insights, forecasting, zero-based budgeting (ZBB), and scenario-based financial modeling to optimize agency performance. You’ll work closely with leadership and department heads to ensure financial stability, provide detailed reporting, and implement innovative financial strategies to support growth. Key Responsibilities 1. Financial Record Keeping & Reporting Maintain accurate records of all financial transactions, ensuring proper categorization and timely entry into the general ledger. Prepare monthly financial statements, including Profit & Loss Statements, Balance Sheets, and Cash Flow Statements. Reconcile all bank accounts monthly, identifying and resolving discrepancies in a timely manner. Manage accounts payable and receivable, ensuring that all invoices are paid on time and that clients are invoiced accurately. 2. Payroll Management Process payroll for employees across the portfolio companies, ensuring that tax withholdings, deductions, and benefits are accurate and compliant. Work with HR to ensure the timely and accurate processing of payroll taxes and reports. 3. Advanced Excel / Google Sheets & Automation Use advanced Excel and Google Sheets functions (e.g., VLOOKUP, pivot tables, macros, complex formulas) to streamline financial processes, including automated financial reporting and forecasting. Build and maintain real-time financial dashboards to provide leadership with up-to-date information on the financial health of the portfolio companies. Automate monthly reports and recurring tasks, such as invoicing, expense tracking, and budget reporting, to increase efficiency and reduce manual errors. 4. Forecasting & Financial Projections Work with leadership to develop financial projections based on historical data, growth goals, and market assumptions. Build scenario-based forecasting models to help the leadership team make informed decisions about spending, investment, and growth. Provide insights into cash flow trends, potential risks, and areas for strategic adjustments. 5. Zero-Based Budgeting (ZBB) Lead the implementation of zero-based budgeting across all departments, ensuring that every expenditure is justified based on current business needs and goals. Review and approve department budgets annually, ensuring that each line item aligns with the company’s priorities and growth targets. Train department heads and other key stakeholders on ZBB principles, fostering a culture of financial efficiency and accountability. 6. Expense & Budget Management Monitor expenses across departments, ensuring they stay within budget and are in alignment with financial forecasts. Collaborate with leadership to create annual budgets and adjust forecasts as necessary based on business performance and changing conditions. Implement cost-saving measures and identify areas for operational improvements through detailed financial analysis. 7. Tax & Compliance Support Assist with quarterly tax filings and year-end tax returns for all entities within the portfolio. Ensure compliance with all tax regulations and industry standards related to financial transactions, marketing spend, and employee payroll. 8. Financial Software & Integrations Utilize QuickBooks, Xero, or similar financial software to maintain up-to-date financial records and prepare reports. Integrate forecasting tools such as Fathom, Spotlight Reporting, or Float to improve the accuracy of projections and reporting. 9. Ad-hoc Financial Analysis Provide financial analysis for special projects or new initiatives, such as acquisitions or new product launches. Offer financial guidance for R&D investments, marketing campaigns, and other business initiatives, ensuring alignment with financial goals. Skills & Qualifications 5+ years of experience in bookkeeping or accounting, particularly within service-based or marketing agencies. Advanced proficiency in Excel and Google Sheets, including the ability to automate tasks, create dashboards, and build financial models using advanced formulas, macros, and pivot tables. Strong experience in financial forecasting and scenario-based modeling to help guide strategic business decisions. Zero-Based Budgeting (ZBB) experience, including training teams on ZBB principles and ensuring budgets are built from scratch annually. Proficiency with financial software such as QuickBooks, Xero, and forecasting tools like Fathom, Spotlight Reporting, or Float. Understanding of tax compliance regulations and experience preparing tax filings. Excellent communication skills, capable of presenting complex financial data to non-financial stakeholders and leadership.
