We are currently planning an important event for one of our key clients and are building our team with forward-thinking professionals ready to drive success from the ground up. Position Overview: The Part-Time Event/Project Manager will serve as the central coordinator for all aspects of our client’s event, which will be held at a ski resort in the US. This role requires a strong background in event coordination, vendor management, and administrative support. You will manage timelines, build and maintain vendor relationships, and ensure that every element of the event is executed seamlessly. Note: This is a part-time role with an expected commitment of approximately 20 hours per month during the planning phase. Key Responsibilities: Project Coordination: Develop and maintain comprehensive project plans and timelines. Monitor milestones, allocate resources effectively, and ensure deadlines are met. Event Coordination: Coordinate specific event elements such as food and beverage stations, ensuring all client requirements are met. Vendor & Contract Management: Maintain updated lists of vendors and manage relationships with approved partners for catering, A/V, speakers, photo/video coverage, and other services. Lead negotiations and review contracts with key partners and vendors in collaboration with legal and finance teams. Administrative Support & Communication: Manage data collection, data entry, phone services, and email correspondence. Plan and schedule meetings and appointments to ensure smooth event operations. Assist with team onboarding and provide ongoing administrative support throughout the event lifecycle. Financial & Operational Oversight: Collaborate on budgeting, rate negotiations, and overall financial planning. Monitor expenses to ensure alignment with budget constraints. Oversee the setup and management of critical systems such as the payment portal and other logistical tools. Identify and proactively mitigate potential risks. On-Site Event Coordination: Serve as the primary on-site coordinator during the event week at the ski resort, ensuring smooth operations and immediate issue resolution. Qualifications and Skills: Proven ability to manage large-scale, multi-stakeholder projects. Strong background in event coordination, including vendor management and securing event sponsorships. Exceptional organizational, multitasking, and communication skills. Proficiency with project management software and digital collaboration tools. Demonstrated experience in administrative tasks such as data management, meeting planning, and contract review. A passion for the ski and outdoor sports industry is a plus.
