ClickAway is a trusted and locally owned technology services company that has been serving Silicon Valley and the Monterey Bay area for over 20 years. We specialize in computer, phone, and IT services for consumers and small businesses. As we continue to grow, we are looking for a skilled Bookkeeper to manage our financial records, replacing the functions currently handled by an external accounting firm. Position Summary The Bookkeeper will oversee the day-to-day financial operations of ClickAway, including accounts payable, accounts receivable, payroll journal entries, reconciliations, and financial reporting. The ideal candidate is detail-oriented, highly organized, and experienced with QuickBooks Online, Bill.com, and payroll processing. Key Responsibilities Accounts Payable & Receivable - Process and enter up to 20 bills per month using Bill.com - Reconcile accounts payable and accounts receivable monthly - Banking & Reconciliation - Perform 6 monthly bank reconciliations - Complete 2 credit card reconciliations monthly - Review and reconcile loan accounts, prepaid accounts, and equity accounts Payroll & Tax Responsibilities - Record payroll journal entries using data from our payroll provider - Classify payroll transactions properly within QuickBooks - Calculate and record sales tax payable - Prepare and file California Sales & Use Tax Returns Financial Reporting & Inventory - Prepare monthly financial statements for review by management - Update financials based on reconciliations and transaction reviews - Conduct monthly balance sheet reviews - Adjust inventory quarterly based on physical counts Year-End & Compliance - Record tax preparer-adjusted journal entries annually - Assist in annual financial statement review - Prepare and file Form 1099s annually Collaboration & Communication - Maintain an organized system for financial records and documentation - Provide a monthly list of questions or discrepancies related to transactions - Participate in a monthly closing call with the management team - Work with external tax preparers and auditors as needed Qualifications - Proven experience as a Bookkeeper, Accountant, or similar role - Proficiency in QuickBooks Online, Bill.com, and Microsoft Excel - Strong understanding of GAAP principles, payroll processing, and tax compliance - Experience with bank reconciliations, journal entries, and financial statement preparation - Ability to manage multiple priorities and meet monthly/quarterly deadlines - Excellent attention to detail and problem-solving skills - Strong written and verbal communication skills - Experience working in retail, technology, or service-based industries is a plus
