The Intake Coordinator or Client Care Coordinator is the main point of contact for new clients and the central liaison between clients, therapists, and team members. This is a Queen Bee role, which means that the practice cannot function without someone in this role who is dedicated, sees the big picture, pays attention to detail, and is a warm and friendly representative of the practice. We highly value this role, and are always working to set you up for success and support you, knowing that we could not serve our clients and therapists without you. Services: *Be available to conduct scheduled calls during days and times when the Lead Intake Coordinator is unavailable. *Cover call availability during days/times when the Lead Intake Coordinator is on vacation or otherwise out of the office. *Conduct intake calls and schedule clients for first sessions (ideally) or consultations with therapists (as appropriate), using the intake script and process provided. *Perform post-intake tasks according to the checklist provided. *Return client calls and emails within the same day whenever possible and no later than the next business day. *Completely fill out the intake dashboard at the end of each week, and do a full review of all the information at the end of each month to ensure accurate metrics tracking. *Check daily for outstanding balances and contact clients to resolve those balances, looping in therapists as needed. *Collaborate with the operations manager and owner for ongoing process improvement. *Start your cover letter with the word rain, so we know you're detail oriented. *Identify problems or issues with any administrative tasks performed by the therapists, operations, marketing, or contractors that may negatively affect the business, and proactively alert the owner and operations manager, using the insight from your Queen Bee role to help solve these issues. *Perform additional administrative tasks as assigned. *Perform all duties in a HIPAA compliant manner. Measuring Success Understanding that many factors are in play with converting clients, we know you may not always be able to hit specific or arbitrary goals for the metrics we use to track intake coordinator success. However, we will be collaborating with you to improve or find a consistent standard for the following metrics: *Percent of consultation calls scheduled that were completed. *Percent of clients who did a consultation and who booked a session/were assigned to a therapist. *Percent of clients who did a consult and kept their first session. Conversion rate for consultation calls completed. These metrics, in conjunction with client surveys and feedback, therapist feedback, and owner and operations manager experience will be used to determine Queen Bee role success. Scheduling *As an independent contractor, you set your own hours of availability, however your hours must not overlap with the Lead Intake Coordinator’s set hours. *Calls are scheduled no less than 2 hours in advance. *You'll only be paid for the time you are actually on calls or doing related work. If there are no calls and no related work during your available hours, you're free to do anything else as long as you're available to take a call scheduled within 2 hours.
