We are seeking a detail-oriented and proactive Bookkeeper & Accountant to support the financial operations of our growing company. This role requires strong organizational skills and experience managing both bookkeeping and payroll functions across multiple states. This position plays a critical role in maintaining our financial integrity through diligent bookkeeping, accurate payroll processing, and ensuring compliance with state-specific employment regulations. A strong candidate will have experience working across multiple states (specifically Texas, Washington, and Pennsylvania) and a deep understanding of payroll, contractor management, and financial reporting. Key Responsibilities: State Compliance Oversight: Maintain and oversee state employment accounts for employees in Texas (TX), Washington (WA), and Pennsylvania (PA), ensuring compliance with all relevant employment tax and labor laws. Ensure adherence to all state and local tax, labor, and payroll regulations. Monitor legislation changes across operating states and implement necessary process or documentation updates. Handle state-specific filings (e.g., unemployment, withholding, workers’ comp) and audits as needed. Payroll & Contractor Payments: Process weekly payments to contractors and maintain accurate records of payouts. Manage the accurate and timely processing of monthly royalty payments, ensuring adherence to contractual agreements and proper record-keeping. Payroll & HR Platform Management: Manage Gusto platform for both employees and contractors. Onboard new hires within Gusto, ensuring correct setup of employment details and tax documentation. Process payroll for hourly and salaried employees on a biweekly basis, ensuring timely and accurate payments. Bookkeeping & Reconciliation: Manage QuickBooks (QB) on a weekly basis. Reconcile all bank and credit card transactions to ensure clean, up-to-date financial records. Monitor accounts payable and receivable, flag discrepancies, and support clean month-end closes. Reporting & Financial Insights: Prepare and complete monthly Profit & Loss (P&L) reports. Collaborate with the business owner to analyze monthly spend, identify trends, and suggest areas for optimization. Provide ad hoc financial reports and support external CPA or tax professionals as requested. Dashboard Maintenance: Update and maintain a financial dashboard to track and visualize key financial metrics and trends. Qualifications: 3–5 years of experience in bookkeeping and payroll administration, preferably across multiple states. Experience working in a small business or startup environment. Familiarity with royalty payments or commission-based compensation a plus. Associate’s or Bachelor’s degree in Accounting, Finance, or related field (or equivalent experience). CPA or bookkeeping certification a plus. Proficient in QuickBooks and Gusto (or similar platforms). Strong knowledge of payroll regulations, tax compliance, and state employment laws. Strong analytical and problem-solving skills with the ability to identify and resolve discrepancies. Excellent attention to detail and a high degree of accuracy. Self-starter with the ability to manage time effectively and meet deadlines without supervision. Comfortable handling confidential information with integrity and discretion.
