As part of this initiative, we are developing a Quote Management System leveraging Airtable as the centralized database—fully integrated with GoHighLevel (GHL) to create a dynamic and automated workflow for quote creation, client engagement, and backend data sync. Currently we have a spreadsheet in Google sheets that is setup to integrate with GHL.We can provide sheets with Formulas and working calculations That are linked to GHL. Scope of Work We are seeking a technically proficient Airtable expert with proven experience integrating Airtable with GoHighLevel (GHL) and building smart, automated quoting tools. You will be responsible for architecting and implementing a scalable system that supports: Dynamic quote creation and version control Real-time data syncing between Airtable and GHL (via webhooks, APIs, or middleware like Zapier or Make) Automated quote status workflows (e.g., Draft - Sent -Approved - Expired) Branded quote output (PDF, email-ready formats) User-friendly quote builder views for internal sales teams Data integrity between GHL CRM contacts/opportunities and Airtable tables Administrative interface for product pricing, tax rules, and optional upsells Key Responsibilities Architect the Airtable Base to serve as the centralized database for quote line items, pricing, discounts, and client records Integrate with GoHighLevel CRM, syncing contact and opportunity data, and triggering quote creation workflows Automate Workflows for sending quotes, updating statuses, and capturing approvals Implement Branded Output using Airtable Extensions, Zapier/Make, or tools like Formstack Docs / Google Docs templating Optimize for Reusability, ensuring the base can scale across additional Gulf Aluminum sales regions and reps Document the Build for future internal use, updates, and onboarding Technical Requirements Expert-level proficiency in Airtable (Formulas, Linked Records, Interfaces, Extensions) Experience integrating Airtable with GoHighLevel (via API, Webhooks, Zapier, or Make.com) Familiarity with quote-building logic (pricing rules, tax rates, dynamic line items, discounts) PDF generation tools and workflows (Google Docs, Documint, or similar) Workflow automation across platforms (Zapier, Make.com) Strong documentation, communication, and problem-solving skills Bonus Experience Familiarity with construction or manufacturing quoting (especially aluminum, fabrication, or contractor industries) UI/UX experience designing internal tools for non-technical sales reps White-label deployment strategies Timeline & Deliverables Phase 1 (MVP): Airtable base connected to GHL with quoting capabilities live within 3 weeks Phase 2 (Enhancements): Branded output, automation improvements, and client-side approval flows Potential for additional projects post-delivery
