Job Summary: We are seeking a highly motivated and dynamic Personal Assistant to the CEO who is available in the Pacific Time Zone. The ideal candidate must possess strong organizational skills, technical knowledge (preferably in software or IT), and a high level of flexibility. The role requires availability on weekends and the ability to travel within the USA, including accompanying the CEO when necessary. Key Responsibilities: Calendar Management: Organize and maintain the CEO’s schedule, including setting up meetings, reminders, and travel arrangements. Proactively manage and resolve scheduling conflicts. Meeting Coordination: Attend meetings on behalf of the CEO when required and take comprehensive notes. Prepare agendas, documents, and briefing materials for meetings. Follow up on action items and track progress. Document Review and Management: Review, edit, and draft documents and presentations. Ensure the accuracy and quality of technical and non-technical documents. Communication: Act as the point of contact for internal and external stakeholders. Draft emails, memos, and other communications on behalf of the CEO. Technical Support: Leverage technical expertise to assist in reviewing software-related documentation. Provide basic technical assistance when needed. Travel and On-Site Support: Accompany the CEO on business trips within the USA. Handle on-the-go coordination and support during travel. General Administrative Support: Handle ad hoc tasks as directed by the CEO. Maintain confidentiality and exercise discretion. Requirements: Experience: Minimum of 3 years of experience as a Personal Assistant, Executive Assistant, or similar role. Experience working with software, IT projects, or technical environments is highly preferred. Skills: Exceptional organizational and multitasking abilities. Strong technical knowledge (preferably in software or IT). Proficiency in English (spoken and written) with excellent communication skills. Proficient in Microsoft Office, Google Workspace, and calendar management tools. Able to travel within the USA, including accompanying the CEO when required. Willingness to work weekends and provide on-call support as needed. Personal Attributes: Reliable, proactive, and detail-oriented. Strong problem-solving skills and adaptability. Ability to maintain confidentiality and handle sensitive information.
