DEVELOPER NEEDED FOR CUSTOM ORDER MANAGEMENT SYSTEM (OMS) Our company is currently using Google Sheets to track orders across all employees from start to finish. At present, we manually enter customer Purchase Order (PO) information from an Excel sheet, including item details, item prices, supplier information, our costs, customer payment received dates (A/R), supplier payment dates (A/P), tracking information, and MUCH more. We also manually charge customers through Authorize.net, create PDF invoices, and email them to customers. We need a way to streamline and automate this entire process to efficiently manage our orders from start to finish. We are seeking a skilled developer with experience in order management systems, automation, Excel, Google Sheets, credit card payment systems, invoice generation, automatic customer invoicing, and much more. GOAL: We need a comprehensive start-to-finish Order Management System (OMS) that will support our entire order lifecycle—from the moment a customer places an order, through payment processing, shipping, and final invoicing. The system should be accessible to multiple users, each with their own login and password. We prefer a cloud-based solution, similar to Google Sheets, so that employees can access it remotely. While we appreciate the flexibility of Google Sheets for editing and adding additional columns, we are open to other solutions that can accommodate user-specific logins and maintain a detailed edit history for all employees using the system. This edit history is critical, as Google Sheets' edit history can be unreliable when cells are cut, pasted, or deleted. The majority of our POs are in Excel format, in addition to the manually entered POs. We would like the ability to upload and "import" these Excel files directly into the OMS to save time and reduce manual data entry. Features we require: Credit Card Processing: One-click credit card processing, or bulk processing for multiple orders, with an automated paid invoice/receipt generated and sent to the customer. Quote Generation: Ability to generate quotes with customer and item information, including pricing, and email a PDF version to the customer. If the customer decides to place an order based on the quote, we need the functionality to convert the quote into an official order, while tracking which user generated the quote. A detailed edit trail of each user’s actions is essential. Order Sorting: We need to replicate the sorting functionality we currently use in Excel and Google Sheets within the OMS. This includes organizing open and closed orders, with closed orders separated unless reopened for specific reasons such as item returns, exchanges, etc. Shipping & Tracking Integration: Ability to input tracking numbers for UPS, USPS, and FedEx, with automatic updates on the tracking status. If a package is undeliverable or returned, the system should flag that order for follow-up. Order Flagging: The ability to flag orders based on urgency, age, or other specific criteria for better prioritization and management. Employee Login & Permissions: Employees will have logins with restricted access to certain functions, such as preventing the deletion of entire cells. Admin access will grant full control over the system. Data Export: Ability to extract order data into an Excel sheet with customizable fields, such as dates, statuses, and other important criteria. Edit History & OMS Worksheet Recovery: An essential feature for tracking changes made by all users, with a reliable edit history and the ability to recover worksheets if needed. Start-to-Finish Order Workflow: The system should cover the full lifecycle of an order—from initial quote or PO entry to payment processing, shipping updates, and final invoicing. We need a smooth and automated process that eliminates the need for manual data entry and minimizes human error. Future Needs: There will be many additional features and refinements required to further optimize our OMS, but we aim to start with a solid foundation and improve the system as we use it. We currently process between 20 and 50 orders a day, and we anticipate this number growing. Optional Future Feature: We may consider integrating phone capabilities for notifications or order management down the line.
