Circuits and Software LLC is a small business which specializes in custom electronics design and software consulting. We believe in providing full, seamless solutions under one roof to make our customers’ dreams come to life. We have expertise in several areas including banking, renewable energy, LED lighting, battery charging, law enforcement, medical, and more. Our team consists of four full-time employees along with a small number of additional subcontractors that contribute for projects requiring additional resources or specific expertise. These subcontractors are USA based and are individuals that we are familiar with and regularly engage to deliver exceptional results. RESPONSIBILITIES - Manage company projects and timelines and communicate with clients on project status and updates - Monitor marketing initiatives for new customer leads and review with the team. Assist with the preparation of proposals, scheduling, and follow ups. - Draft proposals for new project opportunities - Provide executive administrative support as needed - Create and Maintain a Company Project calendar to ensure that we are exceeding customer expectations and work with the Vice President to have the appropriate resources allocated to each project - Determine priority of matters of attention for the Vice President; redirect matters to staff to handle, or handle matters personally, as appropriate. - Keep the Vice President advised of time-sensitive and priority issues, ensuring appropriate follow-up. - Attend meetings, take notes of discussion, and prepare the draft of minutes and summaries. - Assist with the tracking and categorizing of company expenses specifically those which may be billable to clients - Assist with the daily time tracking of the Vice President and monitoring the rest of the team’s hours for accuracy - Routinely perform a wide variety of support duties. Some examples of this may include creating company accounts with clients, maintaining company vendor accounts for operations such as utilities and internet, submitting or paying invoices, and other administrative tasks - Placing and tracking orders for project components and ensuring vendors are meeting expectations - Access and use discretion in handling confidential and sensitive information OUR DREAM CANDIDATE - A detail-oriented self-starter with prior experience in an administrative role - Great personal skills and is generally a joy to be around - Excellent organization and time-management skills - Exceptional writing, editing, and proofreading skills - Eager to tackle new projects and bring new ideas to improve and grow the company - An individual with the ability to prioritize and make decisions independently when appropriate - Values receiving and providing positive and constructive feedback - Familiarity with Microsoft Office (Excel, Outlook, Word, PowerPoint) - Bonus: Familiarity with Agile project development using tools such as Confluence and Jira
