We are seeking a highly skilled Executive Administrator to provide strategic administrative support to our CEO ensuring smooth operations and efficient workflow across key business functions. Job Summary The Executive Administrator will serve as the right hand to the CEO, providing executive-level administrative support, managing schedules, coordinating meetings, handling confidential communications, and facilitating strategic initiatives. This role requires exceptional organizational skills, attention to detail, and the ability to anticipate and respond to the needs of our CEO in a fast-paced environment. Key Responsibilities · Executive Support: Provide comprehensive administrative assistance to the CEO, including calendar management, travel coordination, and correspondence. · Meeting Coordination: Plan, schedule, and prepare agendas for executive meetings, board meetings, and leadership retreats. Take minutes and follow up on action items. · Communication Management: Act as a liaison between the CEO and internal/external stakeholders, ensuring efficient and professional communication. · Project Management: Assist in the execution of special projects, research, and initiatives led by the executive team. · Confidentiality & Discretion: Handle sensitive information with the highest level of professionalism and discretion. · Office Operations: Support general administrative functions, including document management, expense reporting, and office logistics. · Event Planning: Organize corporate events, conferences, and leadership summits as needed. · Board Relations: Prepare materials for board meetings, manage records, and assist in board governance activities for all CEO’s companies and industry board engagements. Qualifications & Experience · Bachelor’s degree in Business Administration, Management, or a related field preferred, but not required. Prefer experience and would consider someone with no qualifications other than the inside sales management of a book of business that requires internal and external communication. · Minimum of 2 years of experience in executive administrative support, preferably at the C-suite level. · Exceptional written and verbal communication skills. · Proficiency in Microsoft Office Suite, project management tools, and virtual communication platforms. · Strong organizational skills with the ability to multitask and prioritize effectively. · High level of professionalism, discretion, and problem-solving ability. · Experience in a fast-paced, high-growth organization is a plus.
