Responsibilities Email Management - Daily inbox sweep and triage - Draft and send professional, warm replies in my voice - Create tasks or reminders when necessary - Track and follow up on priority messages (e.g. media, legal, speaking) - Maintain Standard Operating Procedures (SOPs) in Notion for communication systems Calendar Management - Align calendar to my priorities and energy levels - Flag scheduling conflicts and surface logistical issues early - Add events and changes from incoming emails (e.g. school schedules, speaking events) - Help me prep for meetings or interviews (logistics, important talking points, risks, considerations) Publishing Assistant - Format and proof read Substack essays (text, links, images, tags) - Draft social media content and repurposing, create social blurbs from essays or interviews - Update editorial calendar across newsletter, op-eds, interviews - Help maintain a tracker of what’s being pitched, published, or drafted - Support light editing or structuring of drafts or outlines - Ensure tone and publishing cadence align with broader narrative goals Project Management - Maintain Notion dashboards for media, legal, content, and admin - Build and update trackers (press outreach, contacts, deadlines, thank yous) - Provide reminders and timelines to help move projects forward - Break big goals into smaller tasks and track progress - Create and document systems that make recurring work easier Lightweight Finance Management - Organize and maintain folders, files, and documents - Support data entry, light bookkeeping, and bill payments - Navigate complex insurance reimbursements - Surface financial reminders and track key deadlines (e.g. taxes, payroll) - Track reimbursements, speaking payments, business expenses, and invoices Personal Support - Book personal appointments (doctor, dentist, etc.) - Send gifts or cards for key moments - Research as needed (travel, services, logistics) - Coordinate social gatherings or small events You Might be a Fit if you: - Love building and maintaining systems that make other people’s lives smoother - Are a confident, thoughtful communicator who can match tone and write quickly - Can keep a lot of threads organized without dropping balls - Are familiar with advocacy, narrative change, and mission-driven work—or excited to learn - Have supported a neurodivergent or burnout-recovering person before (or are open to learning how) - Care about justice, safety, and the power of storytelling Thank you!
