Job Summary: The Virtual Assistant will play a key role in managing administrative tasks, including answering phone calls, scheduling patient appointments, and notifying our physical therapists and doctors about any changes in patient care plans. The ideal candidate will have excellent organizational skills, a strong attention to detail, and a commitment to maintaining confidentiality. Key Responsibilities: Answering Phones: Provide courteous and professional assistance to patients and prospective clients via phone. Address inquiries, offer information about our services, and resolve concerns efficiently. Take comprehensive messages and ensure that urgent matters are directed to the appropriate staff. Scheduling Patients: Manage patient appointment scheduling, ensuring an efficient and effective calendar. Confirm appointments with patients and handle rescheduling or cancellations as needed. Keep accurate and up-to-date records of all scheduling activities in our management system. Notifying Doctors of Changes in Plans of Care: Communicate updates or modifications to patient care plans to the relevant physical therapists and physicians. Ensure changes are accurately recorded and integrated into the patient's care plan. Follow up with clinical staff to confirm that updated plans are reviewed and understood. Qualifications: Experience: Prior experience as a virtual assistant, administrative assistant, or in a similar role. Experience in a healthcare setting, especially in physical therapy or outpatient clinics, is preferred. Skills: Exceptional communication skills, both written and verbal. Strong organizational and time-management skills. Proficiency with office software and scheduling tools. Ability to handle sensitive and confidential information with professionalism. Technical Requirements: Reliable high-speed internet connection. Proficiency in using communication and scheduling software (e.g., Microsoft Office, Google Workspace, electronic health record systems). Familiarity with virtual meeting platforms (e.g., Zoom, Microsoft Teams). Personal Attributes: Self-motivated with a proactive approach to problem-solving. High attention to detail and accuracy. Ability to work independently and collaboratively as part of a remote team.
