Project Management Tool Selection & Implementation Consultant for Alta Advisors

DESCRIPTION: Alta Advisors, a boutique strategic finance and accounting firm, is seeking a skilled consultant to help us select and configure a project management tool for internal operations. We work with high-growth, venture-backed startups, primarily in deeptech, hardtech, and applied AI sectors, and require a solution that can manage multi-client workflows, deliverable tracking, recurring tasks (such as monthly closes), and team collaboration. Our current tech stack includes: - Communication (client and internal): Slack (primary) and email (secondary) - Productivity: Google Workspace (primarily Google Drive, Docs, Sheets, and related apps) - Accounting/Finance: QuickBooks Online, Gusto, Brex, Ramp, etc. SCOPE OF WORK: - Evaluate our current workflows, operational needs, and existing tech stack. - Recommend a project management tool that fits our structure, whether a generalized platform (e.g., ClickUp, Asana, Monday.com) or an industry-specific solution (e.g., Karbon, Financial Cents, Jetpack Workflow). - Configure and optimize the selected platform to support: - Client management - Deliverable tracking - Standardized project and task templates - Automation of recurring tasks - Alerts for projects behind schedule or missed deliverable deadlines - Reporting and dashboard setup - User permissions and security - Internal collaboration and communication - Tight integration with Slack for task updates, reminders, and notifications - Develop and document workflow templates and automation examples. - Train the internal team on system usage and best practices. IDEAL CANDIDATE: - Experience selecting and configuring both generalized and specialized project management tools, with an unbiased approach. - Experience working with consulting firms, professional services, or accounting/finance organizations. - Strong familiarity with finance/accounting workflows. - Ability to design simple yet sophisticated systems. - Strong communication skills and a consultative approach. DELIVERABLES: 1) Recommendation memo on tool selection. 2) Configured project management workspace. 3) Workflow templates and automation examples. 4) Training session(s) and documentation. TIMELINE: Target completion within 4-6 weeks from kickoff. BUDGET: Open to proposals; please include a fixed fee or hourly rate with your application.
