We are looking for a reliable, organized, and compassionate Personal Administrative Assistant to support a small, growing functional medicine practice. This role starts at 16 hours a week (Tuesdays and Thursdays) with clear potential to grow to 24 hours a week. While most of the work is remote, candidates must live in the NY Tri-State area and be willing to come into the office a few times a year to stay connected to the office flow and patient care environment -(Paid Travel Visit). The ideal candidate will have a strong medical background, excellent communication skills, and the ability to complete tasks thoroughly and efficiently with minimal oversight. You should be dependable, proactive, and able to work well under pressure. Familiarity with healthcare workflows, patient scheduling, EMR systems, and HIPAA compliance, some knowledge of finance, Canva and light email and texting ability is essential. About the Role: We’re a small, mission-driven functional medicine practice looking for a dedicated, detail-oriented, and compassionate Personal Administrative Assistant to join us in supporting our patients and practice operations behind the scenes. This role is a mix of administrative excellence and a strong understanding of the flow of healthcare — perfect for someone who is reliable, efficient, and deeply values making a difference in people’s lives. What You’ll Do: Support the provider with administrative needs, including task tracking, calendar management, and patient coordination. Manage patient record updates, and patient follow-ups in a timely and organized way. Review subscriptions based models via office app Communicate professionally with patients via email and phone — kindness and clarity are key. Replying to patient inquires, follow up questions and wellness check-in Complete assigned projects and operational tasks thoroughly and efficiently, without requiring heavy oversight. Help track patient needs such as biofeedback (will be trained) scans, supplement education, and other light medical office responsibilities. Come onsite a few times a year to stay connected to the in-office flow and patient care culture. What We’re Looking For: A strong medical background — you should understand healthcare workflows, terminology, and HIPAA basics. Excellent communication skills — both written and verbal — and a warm, professional tone. Someone who stays calm under pressure and can juggle multiple priorities without missing the details. A self-starter who takes ownership of tasks and consistently follows through. Based in the NY Tri-State area with reliable transportation for occasional onsite visits. Comfortable working with EMR systems, email platforms, and basic administrative software.
